Role Overview:

We are seeking detail-oriented, highly organized Recruitment Administrators (RAS) to join our office in Nepal. This role provides critical administrative and operational support to Recruiting Project Managers (RPMs) in Zagreb, Croatia. The ideal candidate thrives in a structured environment, understands the importance of accuracy and deadlines, and can confidently manage documentation-heavy workflows in a remote setting.

How Our Virtual Office Works:

Each RA will be dedicated to one specific RPM based in Zagreb and will be logged in, visible, and available on-screen for the entire shift. You will share this virtual office environment with 2-3 other RAs, creating a collaborative and highly communicative workspace. Your assigned RPM will communicate with you directly by unmuting themselves to give instructions, assign tasks, and provide updates throughout the day. At the end of each day, you will be required to send your RPM a detailed, clear, and comprehensive End-of-Day Report outlining:

  • All tasks completed that day
  • Any tasks still pending and their current status

Key Responsibilities:

  • Prepare employment offers and contracts in line with RPM guidance.
  • Collect, verify, and organize documentation for work permit applications (passports, diplomas, clearances, etc.).
  • Submit and track work permit applications via HZZ (Croatian Employment Service).
  • Manage visa applications in coordination with suppliers and candidates.
  • Prepare and manage residency documentation (Boravišna).
  • Monitor and update all tasks using Excel, Manatal (ATS), and Microsoft Planner.
  • Maintain diligent, accurate data records in ATS and task management tools.
  • Liaise with suppliers (e.g., JVCS), candidates, and internal stakeholders professionally and promptly.
  • Ensure compliance with deadlines for renewals, cancellations, and legal obligations.
  • Act as the first point of contact for candidate questions regarding documentation, salaries, accommodation, and employment matters.
  • Prepare reports and maintain organized, auditable records.
