Reporting To: Visa Manager / Program Director

Purpose of the Position

The Liaison Officer is responsible for providing comprehensive support in visa processing while acting as a liaison between clients, visa application centres, embassies, partner institutions, and internal departments. The role ensures smooth coordination, accurate documentation, and effective communication throughout the visa process.

Key Responsibilities

Act as the primary point of contact with embassies, visa application centres (e.g., VFS), partner institutions, and relevant authorities.
Coordinate communication between clients, group leaders, and internal teams.
Follow up with external stakeholders on application status and requirements.
Facilitate smooth coordination for group visa submissions and official programs.
Represent the organization professionally in official communications and meetings.

Documentation & Record Management

Maintain accurate physical and digital records of visa applications and correspondence.
Ensure confidentiality, accuracy, and security of client data.
Update databases, tracking sheets, and follow-up logs regularly.

Client Service & Communication

Provide clear, accurate, and ethical information to clients.
Address client inquiries and concerns professionally and promptly.
Escalate complex issues to the supervisor when required.
Maintain transparent communication regarding timelines and requirements.

Required qualifications for this job

Required Education Level:Higher Secondary (+2/A Levels/IB)

Required Experience:More than 1 year

Other Specification

Strong communication and coordination skills (written and verbal).
Working knowledge of visa processes and documentation.
Good organizational and multitasking abilities.
High attention to detail and accuracy.
Proficiency in MS Office, email, and basic record management systems.
Ability to work under pressure and meet deadlines.

Maintain strict confidentiality and ethical standards.
Avoid misrepresentation and ensure truthful documentation.
Demonstrate professionalism, punctuality, and teamwork.
Adhere to organizational rules, policies, and code of conduct.
