Roles and responsibilities of this job

The Visa Documentation Officer is responsible for managing end-to-end visa documentation processes including Schengen (Tourist, Business, Visit, Student, and Work/Manpower visas). The role involves document verification, application preparation, appointment scheduling, client guidance, and maintaining accurate and confidential records.

Key Responsibilities:

Handle complete documentation for Schengen visa applications (Tourist, Business, Visit, Student, Work/Manpower).
Review and verify client documents as per embassy guidelines and official checklists.
Prepare visa application forms, cover letters, and supporting documentation.
Draft professional cover letters and assist in preparing Statements of Purpose (SOPs) for student visas.
Guide clients on visa procedures, documentation requirements, biometrics, and interview processes.
Schedule appointments with VFS Global and respective embassies.
Track appointment dates, submission timelines, and passport collection schedules.
Coordinate with clients to collect additional or missing documents within deadlines.
Handle student visa documentation including offer letters, financial documents, and academic certificates.
Manage manpower/work visa documentation including demand letters, employment contracts, medical reports, insurance, and police clearance certificates.
Maintain accurate, confidential, and organized client records.

Required qualifications for this job

Required Education Level:Higher Secondary (+2/A Levels/IB)

Required Experience:More than 3 years

Other Specification

Minimum +2 / Bachelor’s degree preferred
Minimum 3+ years of experience in visa documentation.
Experience in visa documentation (Schengen countries preferred)
Strong knowledge of Schengen visa procedures
Excellent communication skills in English and Nepali
Basic knowledge of travel insurance and flight reservation systems.
Strong attention to detail and ability to work under pressure.
