Job Description

Department: IT 
Reports To: Operations Director

Job Summary:

The IT Services Supervisor is responsible for overseeing the availability, performance, and security of IT services provided to students, staff, and faculty members. This role includes managing help desk support, network infrastructure, system performance, and ensuring compliance with budgetary and user satisfaction goals. The IT Services Supervisor will also drive the adoption of new technologies, implement training programs, and maintain a secure IT environment.

Key Responsibilities:

1. Operations Management

  • Ensure that IT services maintain an uptime of all applications.
  • Monitor and report downtime incidents to keep as minimal as possible.
  • Oversee server and network performance to achieve server uptime and network uptime.

2. Help Desk Management

  • Manage the IT help desk to ensure tickets are resolved immediately.
  • Monitor first contact resolution rates.
  • Provide timely support and guidance to help desk team members to maintain service standards.

3. Security Management

  • Monitor IT security incidents, aiming to keep incidents as below as possible.
  • Ensure rapid incident response, with issues addressed immediately.
  • Implement proactive measures to minimize security risks, including regular audits and vulnerability assessments.

4. System and Network Performance

  • Maintain a minimal system response time for critical applications.
  • Regularly review and optimize network performance to achieve network response times.
  • Conduct regular system maintenance to improve overall system reliability.

5. Budget and Cost Management

  • Monitor IT spending to ensure it remains within approved budget of the institution.
  • Optimize incident management to keep the minimal  cost per incident.
  • Evaluate procurement needs and negotiate vendor contracts for cost efficiency.

6. User Satisfaction and Technology Adoption

  • Conduct regular user satisfaction surveys, aiming for at least an average rating.
  • Monitor survey response rates to ensure a maximum participation rate.
  • Drive technology adoption initiatives to achieve maximum adoption rate for new systems with the fastest implementation.

7. Team Management and Training

  • Conduct regular team meetings, monthly KPI Feedbacks and goals, and performance appraisal.
  • Provide ongoing training for staff on new technologies and system updates.
