Oxford University Clinical Research Unit-Nepal (OUCRU-NP), is a not for profit organization (NPO) with its head office located in Lalitpur, Bagmati Province, Nepal. The mission of OUCRU-NP is to build a strong mass of young Nepalese clinicians and scientists who can help build the scientific and clinical future of Nepal. The main research focus of OUCRU-NP has been on the common infectious diseases within Nepal including but not limited to: enteric fever (Typhoid and Paratyphoid); scrub and murine typhus as well as other causes of febrile illness; antimicrobial resistance (AMR) and infections of the central nervous system and Hepatitis E. OUCRU-NP plans to expand its research work to emerging pathogens with a flexibility to be able to address the public health priorities in Nepal in the future.

Education and Experience

  • Master’s degree in human resources management or relevant field with two years of working experience in general office administration and HR function 

Knowledge

  • Good knowledge of administrative issues;
  • Familiarity with human resources information systems (HRIS)
  • Basic knowledge of national labour legislation
  • Good organizational skills
  • Fluency in verbal and written communication in both English and Nepali 
  • Willing to work on a flexible schedule.

Skills

  • Should have good skills of interpersonal relationship (IPR);
  • Should have good skills on facilitation and communication;
  • Should have excellent computer skills, especially in MS Word and Excel, internet and email.

Job Description

Administrative Functions 

  • Maintain all internal and external correspondence.
  • Ensure necessary logistics for the programme with the help of the procurement and finance team as well as principal investigators and study supervisors
  • Enhance the quality of the administrative, operational and logistical support services to programme / organizational activities
  • Ensure the efficient and safe management of physical assets, premises and vehicles including insurance coverage;
  • Support procurement officer in preparing of general service agreements of with the various companies i.e., security company, IT company, printing, travel services, Stationeries, petrol pumps etc.
  • Ensure the control of an accurate and updated inventory record of office non-expendable goods;
  • Liaise with the collaborative sites for asset lists, renewal of blue books and insurance of assets.

Human Resources Functions

  • Support principal investigators for staff selection process i.e. call to short listed candidates, logistics arrangement for the tests etc.;
  • Support PIs for the preparation of orientation of newly appointed staff members regarding personnel policies of OUCRUNP including introduction to existing staff members.
  • Support vice director in implementation and support the staff performance appraisal System;
  • Maintain files of personnel and other confidential documents.
  • Maintain staff leave records of OUCRUNP offices and administer the recorded properly; 
  • Manage staff identify cards, experience certificates and other certificates according to the records in the personnel file.
  • Liaise with the collaborative sites for staff leave records, asset lists, time sheets, monthly work plan and insurance of assets.

Support Functions

  • Arrange and confirm appointments;
  • Establish and maintain various filing and records management systems;
  • Make travel arrangements; prepares itineraries; prepare, compile and maintains travel claims and records;
  • Prepare agenda and collects materials for meetings and conferences; take various meeting minutes and keep records of proceedings;
  • Coordinate and facilitate calendar to arrange appointments, meetings and conferences;
  • Correspondence with the visitors and develop schedule/itinerary for them and arrange accommodations accordingly.
  • Performs a variety of secretarial supports tasks that are highly confidential and sensitive.
