Roles and responsibilities of this job

The Accounts Officer will be responsible for maintaining accurate and timely accounting records, processing financial transactions, supporting accounts payable and receivable activities, assisting with VAT and tax compliance, reconciling accounts, and providing financial information required for management decision-making.

Department: Finance & Accounts

Reports To: Senior Accounts Officer

Key Responsibilities

A. Accounting & Bookkeeping

Record day-to-day financial transactions in the accounting system.
Maintain accurate general ledger, cash, bank, receivable, payable, and expense records.
Prepare and post journal entries, adjustment entries, and accruals.
Ensure proper documentation and authorization of accounting transactions.
Maintain systematic filing of invoices, bills, receipts, vouchers, and other financial documents.

B. Accounts Receivable & Sales Accounting

Record sales transactions and ensure proper issuance and accounting of VAT invoices.
Maintain customer receivable ledgers and conduct regular reconciliation.
Monitor outstanding receivables and follow up with relevant departments/customers.
Account for sales returns, discounts, refunds, and other adjustments.
Reconcile e-commerce sales, payment gateways, bank collections, and cash collections.

C. Bank & Cash Management

Perform regular bank reconciliations.
Maintain cash and petty cash records.
Verify bank deposits, withdrawals, transfers, and other banking transactions.
Identify and report discrepancies between accounting records and bank statements.
Assist in preparation of cash-flow and fund requirement reports.

D. Inventory & E-commerce Accounting

Coordinate with the inventory/procurement team to ensure proper accounting of purchases and inventory movements.
Reconcile physical inventory records with accounting records where required.
Account for inventory damages, shortages, returns, write-offs, and adjustments.
Reconcile online orders with sales invoices, payment collections, cancellations, and refunds.
Verify payment gateway settlements and related charges.

E. Month-End & Year-End Closing

Assist in monthly closing of accounts.
Prepare account reconciliations and schedules for management review.
Assist in accruals, provisions, depreciation, prepaid expenses, and other month-end adjustments.
Support preparation of financial statements and management reports.
Provide required schedules and documents during internal and external audits.

F. Internal Control & Documentation

Ensure compliance with company accounting policies and SOPs.
Identify accounting discrepancies and report them to the Finance Manager.
Maintain proper audit trails for financial transactions.
Support implementation and improvement of financial controls.
Ensure segregation of duties and proper approval procedures are followed.

Required qualifications for this job

Required Education Level:Under Graduate (Bachelor)

Required Experience:More than 3 years

Required Age:More than 22 years

Other Specification

Education: Bachelor's degree in Accounting, Finance, Management, or a related field.

Experience:

3 years of relevant experience in accounting/finance.
Experience in e-commerce or retail accounting will be an advantage.

Required Skills

Strong knowledge of accounting principles and practices.
Proficiency in MS Excel and accounting software/ERP systems.
Analytical and reconciliation skills.
High attention to detail and accuracy.
Good documentation and record-keeping skills.
Good communication and coordination skills.
Integrity and confidentiality in handling financial information.

Key Performance Indicators (KPIs)

Accuracy and completeness of accounting records.
Timely posting of transactions.
Timely completion of bank and ledger reconciliations.
Accuracy of supplier and customer balances.
Timely month-end closing.
Reduction of accounting discrepancies and unreconciled items.
Proper maintenance of supporting documents.
Compliance with finance and accounting SOPs.
