Job Description

Roles and responsibilities of this job

The Accountant will be responsible for managing the day-to-day accounting and financial activities of the engineering consultancy firm, including project-wise accounting, invoicing, VAT and TDS compliance, payroll, bank transactions, receivables/payables, financial reporting, and coordination with clients, vendors, auditors, and government authorities

Key Responsibilities:

A. Accounting & Bookkeeping

Maintain accurate and up-to-date books of accounts and accounting records.
Record daily cash, bank, purchase, sales, expenses, receipts, and payment transactions.
Maintain project-wise income and expenditure records.
Prepare and maintain ledgers, journals, cash books, bank books, and supporting documents.
Perform regular bank and ledger reconciliations.
Maintain proper filing and documentation of financial records.

B. Project Billing & Receivables

Prepare consultancy invoices, running bills, and other project-related bills as per contracts.
Maintain project-wise billing, collection, outstanding, and receivable statements.
Follow up with clients for outstanding payments in coordination with the management/project teams.
Maintain records of advance payments, retentions, deductions, and adjustments.
Assist in preparation of financial information required for proposals, tenders, and project submissions.

C. VAT, TDS & Tax Compliance

Prepare and maintain VAT bills and tax-related documentation.
Maintain records of VAT, TDS, advance tax, and other applicable statutory deductions.
Prepare necessary tax schedules and supporting documents for submission to the concerned authorities.
Coordinate with tax consultants/auditors for tax filing, assessment, and compliance matters.
Ensure proper documentation in accordance with prevailing Nepalese tax laws and accounting practices.

D. Payroll & Staff Payments

Prepare monthly payroll and salary sheets.
Calculate applicable deductions, TDS, advances, loans, allowances, and other staff adjustments.
Maintain records of staff advances, reimbursements, leave-related payments, and other employee financial matters.
Coordinate timely salary and consultant payment processing.

E. Payables & Vendor Management

Verify vendor bills, quotations, purchase documents, and supporting invoices.
Process payments to suppliers, subcontractors, consultants, and service providers after obtaining required approvals.
Maintain vendor-wise outstanding and payment records.
Ensure proper supporting documents are available before making payments.

F. Cash & Bank Management

Maintain petty cash and cash transaction records.
Prepare payment vouchers, receipt vouchers, journal vouchers, and bank payment documents.
Monitor bank balances and coordinate authorized bank transactions.
Prepare regular cash-flow and fund-position statements for management.

G. Financial Reporting

Prepare monthly, quarterly, and annual financial statements and management reports.
Prepare project-wise profitability and expense reports.
Provide financial information to management for budgeting and decision-making.
Assist in preparation of annual budgets, cash-flow projections, and financial forecasts.

H. Audit & Statutory Compliance

Coordinate with external auditors, tax consultants, and relevant authorities.
Prepare documents and schedules required for annual audit and tax assessment.
Maintain proper records for audit and statutory verification.
Ensure timely completion of accounting and compliance-related activities.

I. Tender, Proposal & Consultancy Documentation

Provide financial information and supporting documents required for EOI, RFP, tender, and consultancy proposals.
Assist in preparation of financial forms, fee schedules, budget estimates, and consultant payment schedules.
Maintain records of consultancy contracts, invoices, payments, and financial correspondence.

Required Qualifications & Experience

Bachelor's degree in Management, Accounting, Finance, or a related field; BBS/BBA/BBM or equivalent preferred.
Relevant experience in accounting, preferably in an engineering consultancy, construction company, architecture firm, or project management organization.
Good knowledge of Nepalese accounting practices, VAT, TDS, and taxation.
Experience with accounting software such as Tally or other computerized accounting systems.
Good working knowledge of MS Excel and MS Office.
Ability to prepare financial statements and management reports.
Experience in project-wise accounting and consultancy billing will be an advantage.

Key Skills

Strong accounting and numerical skills.
Good knowledge of VAT, TDS, taxation, and statutory compliance in Nepal.
Good command of MS Excel and accounting software.
Strong documentation and record-keeping skills.
Attention to detail and accuracy.
Good communication and coordination skills.

Ability to work independently and meet deadlines.

Preferred Experience

Preference will be given to candidates having experience in:
Engineering/architectural consultancy firms.
Construction and project management companies.
Government and semi-government consultancy projects.
Consultancy billing and project accounts.
Preparation of financial proposals and tender documents.
Audit and tax documentation.
