Job Description

Department: Accounts & Store Management
Reports To: Head Office

Job Summary

We are looking for a responsible and detail-oriented Store Keeper / Accountant with practical experience in Tally Accounting Software and MS Excel, preferably from a construction industry background. The ideal candidate will be responsible for maintaining accurate store inventory, handling daily accounting operations, and ensuring seamless coordination between the store and accounts departments at the site level.

Key Responsibilities

1. Store Management

  • Maintain accurate records of materials received, issued, and returned; prepare periodic inventory reports.
  • Conduct regular stock verification and ensure physical stock matches with system records.
  • Properly document Goods Requisition Forms (GRF), Goods Receipt Notes (GRN), Material Issue Slips, and Delivery Challans.
  • Maintain a daily Excel report tracking GRF and GRN.
  • Monitor material consumption and promptly report any discrepancies to management.
  • Coordinate with procurement and site teams to ensure timely material availability as per GRF.
  • Identify unused materials for replacement or transfer and report to the Head of Department (HOD).
  • Maintain records of scrap items and damaged equipment; provide suggestions for their optimal utilization.
  • Ensure safe and organized storage of materials, tools, and equipment at the site.

2. Accounting & Financial Reporting

  • Record all stock transfers and consumption in Tally ERP as per details provided by the Project Manager.
  • Maintain and update daily expenditure and cash book records in Excel; share reports with HOD on a daily basis.
  • Prepare vouchers and supporting accounting documentation.
  • Assist in monthly financial reporting and petty cash management.
  • Support payroll preparation by maintaining advance and attendance records of staff.
  • Track and report all site-level expenses accurately.

3. Compliance & Coordination

  • Ensure all accounting and store records are maintained in compliance with company policy and audit standards.
  • Coordinate with the head office for verification and submission of supporting documents.
  • Ensure timely and accurate submission of store and accounting reports.
