Department: Admin & Finance Dept
Reporting To: Procurement Officer / Finance Controller / Production GM

Job Purpose

To manage and safeguard the centralized inventory of poultry feed additives, medicines, vaccines, equipment, and consumables, ensuring proper storage, accurate record-keeping, and timely issuance to different farm units, while maintaining compliance with quality, health, and biosecurity standards.

Key Responsibilities

1. Inventory & Stock Management

Maintain accurate records of all stock items (poultry medicine, vaccines, feed additives, equipment, consumables).
Carry out GRN (Goods Receipt Note) and update stock immediately upon receipt.
Ensure proper batch, lot number, and expiry date tracking for medicines and vaccines.
Implement FIFO & FEFO (First In First Out / First Expiry First Out) methods.
Monitor stock levels and report reorder requirements to procurement.
Perform daily, weekly, and monthly stock reconciliation with system records.

2. Storage & Handling

Ensure medicines, vaccines, and biologicals are stored under proper conditions (cold chain, dry storage, ventilated areas).
Maintain calibrated thermometers, refrigerators, and freezers for temperature-sensitive items.
Ensure pest control and hygiene within store premises.
Organize materials with proper labeling and bin cards for easy identification.

3. Documentation & Compliance

Maintain stock register, bin cards, and ERP entries accurately.
Ensure all stock movements are supported with issue slips and approvals.
Prepare periodic reports (daily/weekly/monthly) for management.
Ensure compliance with company SOPs, veterinary regulations, and audit requirements.

4. Issuance & Distribution

Issue materials against approved requisitions only.
Arrange secure, temperature-controlled transportation for medicines and vaccines to farms.
Track and acknowledge receipt at destination farms.
Prevent pilferage, misuse, or unauthorized access to stock.

5. Coordination & Support

Coordinate with procurement, farm managers, and finance team for smooth supply chain operations.
Support annual stock audits and facilitate external/internal auditors.
Communicate stock shortages, damages, or expiries promptly.

Key Performance Indicators (KPIs)

Zero stock-outs of critical medicines/vaccines.
Accuracy between physical stock & system records (>98%).
Adherence to FIFO/FEFO compliance.
Minimal expiry-related wastage (<1%).
Timely submission of reports and reconciliations.

Job Specification

Required qualifications for this job

Required Education Level:Under Graduate (Bachelor)

Required Experience:More than 2 years

Other Specification

Bachelor’s degree in Management / Supply Chain / Veterinary Science (preferred).
Minimum 2–3 years’ experience in inventory management (experience in poultry/vet medicine preferred).
Knowledge of ERP/Inventory management systems.
Understanding of cold chain, biosecurity, and handling of veterinary medicines.

Skills & Competencies

Strong record-keeping and documentation skills.
Knowledge of poultry medicines, vaccines, and consumables.
Ability to work under pressure and maintain accuracy.
Integrity, honesty, and strict compliance with company policy.
Good communication and coordination skills.
Computer literacy (MS Excel, ERP, stock software).
