The Stores Assistant is directly responsible to the Assistant Manager- Dispatch & Collection and the Administrative Officer. The post is a full-time salary based position.
Principal Function:
- Maintain inventory control as well as update the entire inventory book such as Purchase, Sales and Stock books plus ensure adequate stock levels and to minimize waste and pilferage, establish and monitor store security policies and procedures and assists in management of all areas of store operations as needed.
Key Responsibilities and Accountability includes the following. Other duties may be assigned.
- To be responsible for the receipt of stock from the factory, maintain and records all processes involved in receiving stock.
- Receives stock or supplies ordered from factory verifying it against specifications on requisition or other documents.
- Receives stock, verifies, quantities and prepares documentation/ filing system which may include the Materials Management System (MMS).
- Performs warehouse work related to receipt, storage, distribution, or delivery of stock as per the order.
- Clearly label all boxes, stock all items by size, and maintain storeroom efficiency.
- Takes precautions to secure warehouse contents against loss. Evaluates inventory on hand.
- Retains and reviews warehouse documents and reports and organizes the documentation pertaining to transactions.
- Verifies data and reports for accuracy and completeness.
- Assists in the investigation and resolution of inventory discrepancies.
- Dispenses stock from stores by measuring, counting and/or cutting requested amounts requiring knowledge and experience handling the goods or materials; documents for inventory and billing purposes.
- Loads, unloads, moves, or stores items according to the order delivery in coordination with Sales dept. or supervisor instructions and coordinates with drivers on dispatching the goods.
- Counts inventory periodically and reconcile with records and/or inventory tickets; performs annual inventory count and reconciliation; reports to supervisors or designated departments, researches and resolves discrepancies.
- Coordinate with accounts dept in the event of breakage and pilferage.
