About the Company

FR International Group is a China-based sourcing, procurement, manufacturing-management, quality-control and international logistics company. We manage multiple clients, suppliers, purchase orders, currencies and shipments across different countries.

We are looking for a responsible and highly organized Senior Accountant who can maintain accurate financial records, provide clear management reporting and independently follow up on outstanding financial matters.

This is not limited to bookkeeping. The successful candidate must understand the financial position of every client, order and supplier and proactively alert management about payments, risks, missing documents and upcoming commitments.

Key Responsibilities

1. Client Account Management

Maintain a complete and accurate account for every client and project.
Record quotations, sales orders, deposits, balance payments, service fees, freight charges, credits and refunds.
Prepare professional client account statements showing all invoices, payments, allocations and outstanding balances.
Monitor overdue and upcoming client payments.
Follow up internally to ensure invoices are issued on time.
Reconcile client balances against bank receipts and accounting records.
Clearly explain any difference or unallocated payment.

2. Supplier Accounts and Payments

Maintain accurate supplier ledgers for every supplier and purchase order.
Record supplier deposits, balance payments, credits, refunds and additional charges.
Verify supplier payment requests against approved POs, invoices, quantities, QC reports, completion photos and shipment-ready dates.
Prepare supplier payment schedules with due dates and priorities.
Prevent duplicate, early, unsupported or incorrect payments.
Reconcile supplier statements and resolve discrepancies promptly.

3. Order-Level Financial Control

Maintain financial records for every client order and supplier PO.
Link client income, supplier costs, freight, inspection, packaging and other expenses to the correct order.
Track estimated versus actual cost and profitability.
Prepare client-, project- and order-level profit reports.
Identify missing costs, unbilled expenses, margin changes and financial exposure.
Coordinate with procurement, production, QC and logistics teams to obtain missing information.

4. Cash Flow and Management Reporting

Prepare a weekly finance report covering Monday to Sunday.
Submit an urgent cash and risk summary every Monday morning.
Maintain a rolling 14-day cash-flow forecast.
Report expected client receipts, supplier payments, salaries, freight charges and other commitments.
Highlight overdue payments, cash shortages, unusual expenses and urgent risks.
Provide clear recommendations and required next actions—not only raw figures.
Prepare monthly management accounts and financial performance summaries.

5. Accounting and Reconciliation

Maintain complete and accurate accounting records in Xero, the company ERP and supporting spreadsheets.
Perform regular bank, cash, client, supplier and intercompany reconciliations.
Record operating expenses, payroll, reimbursements, commissions and petty cash.
Maintain multicurrency records, particularly CNY and USD transactions.
Record applicable exchange rates and identify exchange gains or losses.
Ensure every transaction has proper supporting documentation.
Maintain organized digital records of invoices, receipts, payment proofs, contracts and shipping documents.

6. Invoicing and Documentation

Prepare and verify quotations, proforma invoices, commercial invoices and account statements.
Check pricing, quantities, payment terms, banking information and order references before documents are issued.
Support customs, shipping, tax, audit and banking documentation.
Ensure that financial and commercial documents are accurate and issued on time.

7. Internal Coordination and Follow-Up

Proactively follow up with project managers, procurement staff, QC teams and logistics staff for missing documents or information.
Maintain a clear list of pending finance-related actions and responsible persons.
Escalate delays or risks before they affect client billing, supplier payments or shipments.
Support the implementation of finance SOPs and improve reporting processes.
Take full ownership of assigned work without requiring repeated reminders from management.

Required Weekly Reports

The successful candidate will be responsible for producing:

Client-wise accounts receivable report
Supplier-wise accounts payable report
Upcoming client-payment schedule
Supplier-payment schedule
Order- and client-level profitability report
Bank and cash reconciliation summary
14-day cash-flow forecast
Outstanding invoices and missing-document report
Financial risk, exception, and recommended-action summary

Job Specification

Required qualifications for this job

Required Education Level:Under Graduate (Bachelor)

Required Experience:More than 4 years

Other Specification

Bachelor’s degree in Accounting, Finance, Commerce or a related field.
Minimum 4–6 years of relevant accounting and financial-reporting experience.
Strong experience managing accounts receivable, accounts payable, reconciliations and cash flow.
Experience with trading, sourcing, import/export, manufacturing or project-based businesses is strongly preferred.
Good working knowledge of Xero and advanced Excel or Google Sheets.
Comfortable handling multiple clients, suppliers, orders and currencies.
Strong written and spoken English.
High attention to detail and ability to meet fixed deadlines.
Able to work independently and communicate problems clearly.
Must be proactive, accountable and comfortable following up with different departments.

Key Performance Indicators

Performance will be measured based on:

Weekly and monthly reports submitted accurately and on time.
Accuracy and clarity of client and supplier account balances.
Completion of bank, client and supplier reconciliations.
Timely identification of overdue receivables and upcoming payments.
Accuracy of order-level costing and profitability reports.
Quality of the cash-flow forecast.
Reduction in missing, unsupported or incorrectly allocated transactions.
Ability to follow up and close pending matters without repeated management reminders.
Quality and completeness of the handover from the outgoing accountant.

Selection Process

Shortlisted candidates will be required to complete a practical accounting exercise involving:

Client deposits and balance payments
Supplier deposits and outstanding balances
Multiple currencies and exchange rates
Freight and project-related expenses
Client account reconciliation
Order-level profitability
Accounts payable and receivable
A 14-day cash-flow forecast
A short management summary identifying risks and recommended actions

Candidate Profile

We are looking for someone who brings structure and clarity to the finance function. The right person should not wait to be repeatedly asked for updates. They should know what is outstanding, follow it up, keep management informed and ensure that the company’s financial position is always clear and reliable.

Salary: Negotiable based on experience and demonstrated capability.
Probation Period: Three months, with formal performance reviews during the probation period.
Working Hours: 8-5 PM , Monday to Friday (1 hr break time)
