Job Description

  • Assist in preparing purchase orders (POs) and ensure they are issued in a timely and accurate manner.
  • Communicate with suppliers to get quotes, clarify requirements, and negotiate prices and commercial terms.
  • Ensure that all procurement documents (contracts, quotes, POs, delivery notes, etc.) are properly filed and documented.
  • Prepare and present the weekly procurement report like spent analysis, list of new onboarded vendors, outstanding amount/payment of vendors with priorities, reconciliation report outstanding amount of vendors vs finance record.
  • Prepare vendor database and procurement Dashboard.
  • Collection of consumption reports from each site and check the gap between receipt against uses.
  • Use ERP system like Odoo to check the status of PR, RFQ and PO and other data
  • Ensure that all procurement activities are following the company's policies, procedures, and applicable legal requirements.
  • Coordinate with finance for the timely processing of payments.
  • Assist in analyzing trends and prices in the marketplace and providing recommendations to the procurement team.
  • Handle communication with internal departments and external suppliers.
  • Assist in organizing meetings, events, and any other procurement-related activities.
  • Collecting, arranging and filing the invoices properly and transferring them to relevant departments.
  • Monitor stock level of urgent materials, identify the purchasing needs and inform the line manager.
  • Support the preparation of stock reports and ensure that the procurement of stock is based on business needs.
  • Perform any other duties as directed by the Procurement Manager.
