Roles and responsibilities of this job

We are looking for a dedicated Operations & Reservations Executive to manage day-to-day guest operations, reservations, and coordination. The role involves overseeing guest trips, liaising with hotels and vendors, managing drivers and vehicles, and ensuring excellent client experiences throughout.

Key Responsibilities:

Operations & Trip Coordination:

Oversee end-to-end guest operations, ensuring smooth coordination between clients, drivers, and hotels.
Maintain real-time trip updates via WhatsApp/Excel.
Evaluate routes, road conditions, and trip viability, especially for hilly/offbeat destinations.
Recommend vehicle types and travel schedules based on terrain, weather, and distance.
Resolve on-ground issues (delays, breakdowns) immediately.

Reservations & Vendor Coordination:

Handle hotel, flight, and activity bookings accurately.
Build and maintain strong relationships with hotels, drivers, and other vendors.
Ensure all bookings meet guest requirements (room type, meals, special requests).
Reconfirm bookings 24 hours prior and coordinate with clients and drivers.

Fleet & Vehicle Management:

Maintain vehicle service logs, including EV charging, diesel refueling, and maintenance.
Ensure vehicles are ready and safe for all trips.
Prepare monthly fleet health summaries and report upcoming service needs.

Driver Management:

Conduct daily driver briefings covering guest details, routes, and schedules.
Monitor driver performance, punctuality, and grooming.
Maintain updated Driver Master Sheet with contact, license, and availability details.

Client Experience:

Monitor guest satisfaction in real time.
Resolve complaints immediately and ensure a high-quality experience.
Collect post-trip feedback and share insights for improvement.

Reporting & Documentation:

Maintain trip sheets, reservation trackers, vehicle logs, driver records, and client/vendor contacts.
Submit weekly reports covering completed trips, pending tasks, and improvement areas.

Job Specification

Required qualifications for this job

Required Education Level:Under Graduate (Bachelor)

Required Experience:More than 1 year

Other Specification

Bachelor’s degree in Hospitality, Tourism, or Business Management (preferred).
Minimum 1–3 years of operations or travel industry experience.
Strong knowledge of Nepal’s destinations, routes, hotels, and sightseeing highlights.
Excellent communication skills (Hindi/English/Nepali).
Ability to multitask under pressure and solve problems quickly.
Strong negotiation and vendor management skills.
Proficiency in Google Sheets/Excel, WhatsApp business communication, and basic tech tools.

Skills & Attributes:

Excellent communication skills in English, Hindi, and Nepali.
Strong knowledge of Nepal’s routes, terrain, and travel logistics.
Proficient in Excel, Google Sheets, and WhatsApp Business tools.
Confident, disciplined, and capable of making quick decisions in time-sensitive situations.
Strong negotiation and follow-up skills with hotels, drivers, and vendors.
Calm under pressure, solution-oriented, and highly committed to guest satisfaction.
