Roles and responsibilities of this job

The Logistics Officer is responsible for managing inventory, procurement, fixed assets, and logistics operations to ensure efficient utilization of company resources. The role requires strong organizational ability, attention to detail, and effective coordination with multiple departments to maintain accurate records and optimize operational processes.

Department: Finance Department

Key Responsibilities:

1. Inventory & Stock Control:

Maintain accurate stock control and warehouse management records
Record all receipts, issues, transfers, and returns with proper documentation
Update inventory data in company systems on a timely basis
Identify and resolve stock discrepancies in coordination with relevant departments
Prepare consumption trend and wastage analysis reports
Ensure proper tracking of all inventory movements

2. Procurement Coordination:

Manage Request for Quotations (RFQs) and Purchase Orders (POs)
Maintain an updated vendor master database, including contracts and terms
Follow up with vendors on order status and delivery schedules
Ensure vendor compliance with required documentation and certifications
Prepare weekly and monthly procurement and vendor performance reports
Conduct Goods Received Note (GRN) preparation and verification
Perform quality checks and report discrepancies or damages
Ensure accurate entry of procurement data into accounting/inventory systems
Perform three-way matching (PO, GRN, Supplier Invoice)
Prepare payment vouchers for Finance approval
Maintain a centralized PO register with complete tracking
Ensure compliance with the delegation of authority guidelines
Coordinate maintenance and servicing of company equipment
Manage insurance claims related to company assets
Issue materials and assets only upon approved requests
Monitor resource usage and prepare consumption reports

3. Fixed Asset Management

Maintain an updated fixed asset register with proper tagging
Track asset transfers with authorized documentation and signatures
Ensure timely updates of asset records in the system

4. Standard Operating Procedures (SOPs):

Develop and maintain SOPs for inventory, logistics, and asset management
Ensure proper documentation and implementation of approved processes
Regularly review and update operational procedures

5. Billing & Financial Documentation:

Issue invoices and billing documents related to inventory and assets
Maintain accurate records in accounting/billing software
Submit weekly collection and reconciliation reports to the Finance Head
Support asset disposal and write-off procedures with proper approvals
Prepare detailed logistics, inventory, and asset reports for management
Provide data and analysis for decision-making support
Assist in administrative tasks assigned by the department head

Job Specification

Required qualifications for this job

Required Education Level:Under Graduate (Bachelor)

Required Experience:More than 3 years

Required Age:Less than 40 years

Other Specification

Bachelor’s degree in Business Administration, Supply Chain Management, Logistics, or related field
Minimum 3 years of experience in logistics, inventory, procurement, or warehouse operations
Strong experience in inventory, procurement, or logistics operations preferred
Proficiency in MS Office (Excel, Word) and inventory/accounting systems
Strong analytical, documentation, and reporting skills
Ability to manage multiple tasks and work under pressure
Good communication and coordination skills

Note: Candidate must have a Valid driving license, and the ability to operate a vehicle is mandatory.
