Job Description

  • Draft various letters and correspondences on behalf of the Directors for various occasions and situations such as festival wishes, congratulations, condolences, etc.
  • Attend meetings along with the Directors and also on behalf of the Directors as and when required. Prepare meeting minutes
  • Maintain files and records of the Directors safely and in a systematic manner on daily basis
  • Entertain phone calls on behalf of Directors
  • Communicate and flow information on behalf of the Director
  • Update directories of names, addresses, phone, emails, and other relevant information about the Director’s business, social, and family contacts
  • Fix appointments and meetings for the Director and keep him updated with the timings and places of meetings
  • Manage the daily calendar and annual calendar of main events and meetings of the Directors
  • Arrange for participation in business meetings, seminars, conferences, exhibitions, fairs, etc.
  • Travel arrangements that include Ticketing, hotel booking, passport and visa process, currency exchange, Travel Insurance, etc. for the Directors and their guests
  • Update the frequent flyer program of the Director and process for new ones when required
  • Liaison with Bank for Visa, Master, and other Bank cards of the Director for renewal or any issues
  • Assist Director with daily administrative duties
  • Monitor attendance of the entire team including Office Assistant
  • Ensure that Office assistants are wearing a clean and tidy uniform
  • Any other responsibilities assigned by the concerned authority as required by the nature of the job role
