Job Description

This position is responsible to work closely with our Managing Director ensuring seamless day-to-day operations, support in administration and logistics.

Key Responsibilities

1. Administrative Support:

  • Manage and maintain MD's schedules, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Conduct research and compile data for consideration and presentation by MD.

2. Meeting Coordination:

  • Coordinate and prepare for meetings, including logistics, agenda, and materials distribution.
  • Record, transcribe, translate, prepare and distribute minutes of meetings.
  • Ensure follow-up on action items from meetings.

3. Communication Management:

  • Serve as the primary point of contact for internal and external interactions on behalf of the MD.
  • Screen and direct phone calls, emails, and other inquiries.
  • Systematically file visiting cards and keep contacts record for efficient retrieval.

4. Project Management:

  • Assist in managing and prioritizing multiple projects and initiatives.
  • Coordinate cross-departmental projects and assist in the preparation of reports and presentations.
  • Proactively remind of pending tasks and meetings.

5. Confidentiality and Discretion:

  • Handle highly confidential and sensitive information with discretion.
  • Maintain a high level of integrity and professionalism in all interactions.

6. Office Management:

  • Assist in managing office operations, including supplies, equipment, and facilities management.
  • Liaise with vendors, service providers, and building management.
  • Any other duties appropriate to the post or as assigned by the MD.
