We are looking for a proactive and enthusiastic HR Engagement Specialist to join our team. This role combines employee engagement, office administration, and vendor coordination, providing an opportunity to contribute to a positive workplace culture while supporting HR operations. The ideal candidate will have excellent organizational skills, a keen eye for detail, and a passion for creating an engaging and efficient office environment.

Key Responsibilities:

Office Maintenance:

Maintain a clean, organized, and safe office environment.
Monitor office supplies and place orders proactively.
Ensure all office equipment is functional and arrange preventive maintenance (e.g., air conditioners).
Prepare meeting rooms and set up necessary devices for presentations or meetings.

Bookkeeping & Financial Support:

Process petty cash requests, maintain records, and present reports as needed.
Assist with client billing, invoicing, and payment processing.
Manage purchase orders and other payables accurately and on time.

Employee Engagement & Events:

Develop and manage proposals and budgets for engagement initiatives.
Plan and execute events, retreats, and team-building activities.
Work with the Engagement team to design monthly engagement themes and initiatives.
Create and manage the monthly Company Newsletter to foster internal communication.

Vendor & Supplier Management:

Source and evaluate vendors, obtain quotes, and assist in negotiations.
Support vendor relationship management, contract renewals, and invoice reviews.
Ensure timely payments and maintain vendor records.

Audit & Records Management:

Conduct departmental audits and inventory/asset checks.
Maintain organized filing systems for contracts, petty cash, and admin records.
Complete administrative trackers and reports as required.

Supervision & Compliance:

Provide clear instructions and support to team members.
Manage workload to ensure optimal use of time and resources.
Review quality of work and ensure adherence to deadlines.
Uphold compliance with workplace policies and DOL regulations.

Job Specification

Required qualifications for this job

Required Education Level:Higher Secondary (+2/A Levels/IB)

Required Experience:More than 1 year

Other Specification

Minimum: 12+ education; Bachelor’s degree preferred.
Experience in HR, office administration, or employee engagement is an advantage.
Prior exposure to event planning, vendor management, or internal communication is desirable.

Required Skills & Competencies:

Strong communication and interpersonal skills.
Fluent in English speaking
Excellent organizational, multitasking, and time-management abilities.
Proficiency in Microsoft Office (Word, Excel, PowerPoint) and basic Google Suite tools.
Ability to manage multiple responsibilities while maintaining attention to detail.
Creative mindset for planning engagement initiatives and improving workplace culture.
Professional, friendly, and approachable personality.

Gross salary: NRs. 25,000/month
