Job Description

Shiv Shakti Group, a renowned and leading Manufacturing conglomerate in Nepal is currently looking for an Executive Assistant to be the supportive force that empowers our Senior Management. The ideal person for the job will be a proactive problem solver with exceptional communication skills and meticulous attention to detail. He/She will have previous experience working in an ofice environment, performing administrative duties, and providing support to management. Given the changing nature of the executive landscape, we rely on our assistants for flexibility and foresight, while maintaining confidence related to high-level systems and operations.

Objectives of this Role

With a primary responsibility of supporting the Senior Management, provide support to the executive team as directed to ensure that company goals and objectives are accomplished, and operations run eficiently
Maintain and refine internal processes that support the highest-ranking executives company-wide, coordinating internal and external resources to expedite workflow
anage communication and liaising between Senior Management on various projects and tasks
Plan and orchestrate work to ensure the senior executives’ priorities are met, organizational goals are achieved, and best practices are upheld

Daily and Monthly Responsibilities

  • Manage calendar scheduling for Managing Director
  • Set up meetings and conference calls, internally and externally
  • Navigate Complex calendars dealing with multiple/ urgent meeting conflicts
  • Organize and prepare meeting agendas and materials while attending to logistics Internal Logistics
  • Prepare, reconcile and process invoices/expense claims while ensuring compliance with policies
  • Draft, review and send email communications on behalf of the Senior Management
  • Perform administrative and office support, such as typing, dictation, spreadsheet creation, faxing, and maintenance of filling system and contact database
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
  • Coordinate with various departments and get reports as and when needed
  • Maintain and organize information on the Strategy book of work
  • Interact confidently with senior management and Stakeholders
  • Coordinate Travel arrangements
  • Book air travel, hotel accommodation, and ground transportation
  • Compile required documents for a travel visa and ensure accuracy and timeliness
Skills and Qualifications

  • Bachelor's degree in any discipline with 3+ years experience in similar/ relevant experience
  • Excellent Computer knowledge i.e. Word, Excel, and powerpoint, etc
  • Should have good communication skills
  • Written and verbal in both English and Nepali
  • Telephone etiquette

Interpersonal Skills

  • Time Management, effective multitasking, and prioritization
  • Attention to detail and a positive attitude to problem-solving
  • Display discretion, integrity, and good judgment in navigating the confidential situation
  • Familiarity with the banking and financial services industry - Common Processes and terminology and Frequently used technology programs and platforms

 Preferred Qualifications

  • Experience overseeing budgets and expenses
  • Experience developing internal processes and filing systems
