Amar Architects is seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide direct support to the firm’s leadership. In this role, you will be the central hub for administrative and project-related coordination, ensuring the smooth operation of the studio. You will work closely with architects and designers to help streamline workflows, manage communications, and support the delivery of exceptional design projects. This position is ideal for someone who thrives in a creative, fast-paced environment and enjoys bringing structure and efficiency to a dynamic team.

Reports to: Director

Key Responsibilities

Executive & Studio Support

Provide comprehensive administrative support to the Principal and senior design leaders, managing complex calendars, scheduling internal and client meetings, and coordinating travel arrangements.
Serve as a key point of contact, handling communications with clients, consultants, contractors, and vendors with professionalism and discretion.
Manage sensitive project and client information with the utmost confidentiality.
Oversee day-to-day office operations, including managing office supplies, maintaining a professional studio environment, and liaising with building management.

Project & Workflow Coordination

Assist in coordinating project timelines, deliverables, and follow-ups across multiple design teams to ensure milestones are met.
Help prepare, format, and organize project documents, presentations, and proposal packages.
Support the team in streamlining internal processes, from document management to project tracking, to improve overall studio efficiency.

Team & HR Support

Support recruitment efforts by scheduling interviews with candidates, coordinating portfolio reviews, and assisting with the onboarding process for new hires.
Help organize team events, studio gatherings, and other activities to foster a positive studio culture.

Required Education Level:Under Graduate (Bachelor)

Required Experience:More than 2 years

Other Specification

Bachelor’s degree in Management or related field.
Highly organized with exceptional time management and multitasking abilities.
Excellent written and verbal communication skills.
Ability to anticipate needs, solve problems proactively, and take initiative.
A quick learner, comfortable with adapting to the specific tools and terminology of the architecture and design industry.
Proficiency in Microsoft Office Suite and Google Workspace; familiarity with project management tools (e.g., Asana, Trello) or design software (e.g., Adobe Creative Suite) is a plus.
Trustworthy, discreet, and able to handle confidential information with integrity.
Reliable, proactive, and capable of working both independently and as part of a collaborative team.
