The Executive Assistant provides high-level administrative and coordination support to the CEO, ensuring efficient management of schedules, communication, meetings, and executive operations. The role requires exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced hospitality and travel business environment.

The Executive Assistant will serve as a key coordination point between the CEO, senior management, department heads, hotels/lodges management teams, strategic partners, and the Board of Directors.

Key Functions

General administrative support to CEO
Coordinate meetings and communication with all department heads within SHG (Hospitality and Travel), hotel and lodge management teams, as well as strategic clients and partners
Manage scheduling, calendar management, and flow of information to senior management reporting to the CEO
Maintain a current and organized filing system for all CEO-relevant information and data
Organize and document SMT meetings
Support executive decision-making through timely coordination, documentation, and follow-up of action items
Maintain professional communication and relationship management with internal and external stakeholders

Key Responsibilities:

1. General Administrative Support to CEO:

Manage and share CEO’s calendar and schedule appointments, meetings, events, and conferences
Ensure smooth operation of CEO’s office and daily administrative functions
Coordinate travel arrangements including itineraries, hotel and flight bookings, visa applications, appointments, and currency exchange
Manage CEO’s incoming and outgoing documents including correspondence, invitations, and requests
Manage CEO meeting logistics including venue arrangements, reservations, bookings, and invitations
Answer and screen phone calls and manage email correspondence as requested
Create and manage filing systems for necessary documents, including contracts and approvals
Track deadlines, pending approvals, and follow-up actions to ensure timely completion of tasks
Prepare reports, summaries, presentations, and executive documents as required by the CEO
Coordinate with external stakeholders, vendors, and business associates on behalf of the CEO when required

2. Coordination with Department Heads, Senior Management Team, and Hotel & Lodge Management:

Be the primary point of contact for scheduling appointments and meetings with the CEO
Ensure the CEO is well informed about the objectives and priorities of important meeting requests
Handle inquiries and queries related to the CEO’s Office
Manage invitations and agenda-setting for regular management meetings
Prepare meeting presentations for the CEO, write meeting minutes, and maintain action item lists, including owners and deadlines
Invite participants for regular departmental meetings and communicate time, venue, agenda, and required preparations
Ensure timely communication and coordination between departments for the smooth execution of management directives
Monitor follow-up actions from meetings and provide status updates to the CEO where necessary

3. Confidentiality and Integrity:

Ensure absolute discretion regarding all information and data from the CEO’s Office
Maintain clean, organized, and secure safekeeping of all CEO information and confidential documents
Handle sensitive business information with professionalism, confidentiality, and ethical responsibility at all times
Ensure all executive records, communications, and documentation are securely maintained and easily retrievable

Qualifications & Experience

Bachelor’s degree in Business Management, Business Administration, Management, or related field.
Minimum 2–3 years of relevant experience in executive assistance, administration, coordination, or corporate support roles.
Prior experience in hospitality, tourism, corporate, or service industries will be an added advantage.
Experience supporting senior executives or leadership teams is highly preferred.

Strong verbal and written communication skills.
Fluent in English and Nepali/local language.
Strong initiative level with proactive and solution-oriented mindset.
Ability to adapt to changing priorities and dynamic work environments.
Strong interpersonal and networking abilities.

Key Performance Indicators (KPIs):

CEO calendar is updated, optimized, and communicated on a daily basis.
BOD and SMT meetings are professionally organized and accurately documented.
Timely preparation and circulation of meeting minutes and action points.
Annual executive calendar and key organizational event sare effectively managed.
Efficient follow-up and coordination of executive tasks and priorities.
High level of professionalism, responsiveness, and confidentiality maintained in all executive support functions.
