Reporting To: Documentation Manager / Operations Manager

Role Overview:

The Documentation Officer for Saudi Arabia is responsible for managing all candidate documentation and processing related to Saudi recruitment. This includes e-Wakala preparation, visa processing, embassy formalities, Wafid medical coordination, and deployment documentation. The role requires strong attention to detail and a thorough understanding of Saudi labor and immigration requirements.

Key Responsibilities:

Saudi Documentation & Visa Processing

Prepare, verify, and manage all candidate documents required for Saudi deployment (passport, photos, certificates, medical reports, etc.).
Process Saudi e-Wakala, verify employer details, and coordinate with the Saudi agent for accuracy.
Handle visa approval checks, visa status follow-up, and document tracking.
Prepare and submit files for Saudi Embassy visa stamping, ensuring all requirements are met.
Coordinate with the employer/agent regarding demand letter, power of attorney (Wakala), employment contract, and attested documents.
Ensure compliance with Saudi Ministry of Labor, Saudi Embassy, and Saudi immigration guidelines.

Medical, Orientation & Deployment

Manage Wafid/GAMCA medical scheduling, follow-ups, and verification of medical fitness reports.
Coordinate biometric enrollment, document attestation, and PCC requirements.
Prepare and finalize Orientation (PDOT) and insurance documentation as required.
Maintain accurate deployment files, including contracts, ticket copies, and final clearance documents.
Coordinate with operations and ticketing teams for candidate travel arrangements.

Record-Keeping & Reporting

Maintain updated candidate records in both electronic and physical formats.
Ensure confidentiality and secure handling of all documents.
Prepare daily/weekly status reports on Saudi documentation, visa stamping, and deployment.
Communicate pending documents or issues to candidates and management

Job Specification

Required qualifications for this job

Required Education Level:Under Graduate (Bachelor)

Required Experience:More than 1 year

Other Specification

Bachelor’s degree in Management or related field (preferred).
1–3 years of experience in Saudi documentation or recruitment operations.
Strong understanding of Saudi visa types, e-Wakala, Wafid medical, and Saudi Embassy stamping procedures.
Knowledge of Saudi labor laws, employer documentation, and recruitment compliance.
Proficient in MS Office (Word, Excel, Email).
Strong communication skills in Nepali and English (Arabic knowledge an advantage).
Ability to manage high-volume documentation and meet strict deadlines.

Note: This role is based in Nepal, which means the candidate does not need to travel. It is not an international placement.
