Job Summary

The Administrative Officer ensures smooth day-to-day operations by providing administrative, logistical, HR, and technical support. The role includes office management, documentation, staff coordination, and basic troubleshooting of office equipment.

Key Responsibilities

Office Administration

Manage daily office operations and maintain an organized working environment.
Monitor and maintain office supplies, equipment, and inventory.
Handle incoming/outgoing correspondence, emails, and documents.
Coordinate with vendors for office maintenance and services.

Documentation & Record Keeping

Maintain systematic filing of documents (physical and electronic).
Draft, format, and review letters, notices, and reports.
Ensure confidentiality of sensitive information and data.

HR & Staff Support

Support employee onboarding (seating arrangement) and orientation.
Coordinate staff-related administrative tasks as required.
Attend to staff concerns proactively and take appropriate steps to resolve them effectively.

Logistics & Coordination

Arrange travel logistics (tickets, accommodation, transportation).
Coordinate meetings, workshops, and events.
Prepare meeting minutes and manage calendars.

Finance & Procurement Support

Gather quotations, prepare purchase requests, and support procurement procedures.
Verify invoices and assist with documentation for finance processing.
Maintain petty cash records if assigned.

Computer & Software Skills

Proficiency in Microsoft Office Package (Word, Excel, PowerPoint, Outlook).
Ability to prepare spreadsheets, letters, reports, and presentations.

Hardware & Technical Support

Basic troubleshooting of printers, scanners, and photocopiers (paper jams, toner replacement, connectivity issues).
Ability to perform simple maintenance of the office.
Basic understanding of computer operation and settings.

Problem-Solving Skills

Able to identify routine technical and administrative issues and resolve them.
Coordinate with IT support teams or vendors when advanced assistance is required.
Provide technical support to staff for routine tasks (printing, scanning, formatting).
