  • At least Bachelor’s Degree in Management
  • Proven experience of at least 2 years as an Administrative Assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment like printers, scanners and fax machines
  • Proficiency in MS Office (MS Word, Excel and PowerPoint)
  • Excellent time management skills and the ability to prioritize work
  • Good written and verbal communication skills including Email correspondence
  • Good English and Nepali Typing Skills

Job Description

Administrative Assistant- will play a key role in the operations of the office by undertaking general administration, front desk duty and human resources tasks.

The position reports directly to the Chief Executive Officer.

Responsibilities:

  • Reception and Office Management
  • Perform Communication and Correspondence duty; Receive/make phone calls, send/take messages and emails along with front desk management as needed
  • Assist with photocopying, printing, scanning and filing as needed
  • Assist with typing of documents in Nepali and English  
  • Manage filing systems; such as record management and recording office maintenance, kitchen and office supply expenditures, emergency items, drinking water
  • Maintain Vendor/Contractor Contact List, Office Database, Office Log Books (Registry/Entry of mails, Dispatch Records and Visitors Log Book etc.).
  • Support with regular procurement of stationery, office supplies, cleaning items and Kitchen items as required 
  • Maintain personnel files, leave records and others personnel administration
  • Other duties as required

Administration and Human Resources Management

  • File and track project purchase requests and supporting documentation along with the recurring tracker
  • Visit different BFIs as per necessary
  • Assist with photocopying, printing, filing as needed, primarily as related to non- confidential financial record keeping
  • Process payments for vendor invoices and monitor payments/follow up as needed with bank 
  • Visit bank for deposit/withdraw and other office related work
  • Support Accountant in handling documents and others as needed
  • Assist in Human Resources Management (Managing Employees’ Personal Files, Leave Records, Attendance and Hand over/Take over Records)
  • Any other official duties as assigned by senior staff
