Scope of the position: Placed under the supervision of the Finance and Administration Officer, the Administrative Assistant will contribute to the efficient office, Human resources and financial management providing administrative support to Country Office Team members.

Main Responsibilities / Duties

  • Drafts letters and other correspondence as required in both English and Nepali
  • Provides written translations (in English or Nepali) of work-related documents in typed form
  • Provides oral interpretation during meetings from Nepali to English and from English to Nepali
  • Performs general office/secretarial/filing duties autonomously
  • Follow-up the visa application and renewal process for international staff
  • Create and regularly update the contact lists
  • Process requests for modifications and drawing up amendments to employment contracts
  • Keep track of end of contracts dates and bring them to the attention of the Line Manager
  • Prepares certificates and other HR documents when needed
  • Monitors paid and unpaid leaves
  • Compile and keeps employees personal files up-to-date at all time
  • Assist in the registration of employees to Social security & Tax office and related payments
  • Prepares all correspondence with local authorities (i.e. tax offices, ministry of labour)
  • Facilitate contacts and meetings with the concerned authorities
  • Other duties as assigned

Skills and Qualifications:

  • Intermediate level in any relevant discipline, (bachelor’s degree preferred) and minimum 2 years of experience in Administration
  • High degree of proficiency in office procedures, typing and use of computers including all Microsoft Office programs (specifically Outlook, Word, and Excel)
  • Working experience with UN, INGO /NGO or international donorswill be an asset
  • Must have strong organizational skills, ability to multi-task, and be detail and deadline-oriented
  • Excellent writing skills and able to type in Nepali
  • Fluency in English and Nepali
  • has a good knowledge of counterparts in different administrations
  • Mature, open-minded person with good interpersonal, communication, negotiation and problem solving skills. Ability to listen, diplomatic, service and solution oriented. Flexibility and sense of discretion are required
