Job Description

The Admin and Operations Officer (AOO) delivers on all essential functions. The officer is responsible for overseeing facility(ies) management, student services, procurement, feeding, data into systems, and managing open houses and other public events.

The officer will collaborate closely with the company's leadership and report on tasks and objectives on a regular basis.

The general administrator position is a combination of all essential functions. General tasks include ensuring facilities is managed, managing attendance, overseeing career counseling schedule/plan, overseeing procurement, and managing open-house and public events.

The position requires working closely with leadership, reporting on tasks, and objectives.

Tasks and Responsibilities:

The general manager will be responsible for the smooth running of day to day  functions of the academy:

1) Operations: Ensure facility is ready every day.

  • Schedule sweeping  staff duties: Sweeping schedule- 3 times a day
  • Schedule Bathroom check and clean up routine : Every 2 hours
  • Dusting schedule- all furniture and glass partitions to be dusted  and cleaned everyday
  • Schedule tea preparation for 4pm
  • Furniture inspection- Once a  month
  • Building inspection (paint, walls, fixtures etc)- Once every 3 months
  • Ongoing- bulb replacement, repairs etc.
  • Security – Guard schedule, ensure everyone wears name cards
  • Facility check every night- lights, windows etc.
  • Rainy weather related – Mats at elevator entrances, in the elevator, at reception entry of the academy
2) Attendance

  • Monitor attendance of all staff  - check for leave requests every night and arrange for back up. All classes have lesson plans.  So instructors need to assign self study materials when asking for time off.  The class will be monitored by either a counselor or GM or an instructor.
  • Monitor attendance of all students- Every absence needs to have a note.  The absence report should go to all counselors.

3) Counselling- Create counselling calendar for each class and schedule events

4) Open house and visitor management-

  • Ensure support staff availability during open house events.
  • Guest check in and visitor log. See spreadsheet format

5) Procurement and Inventory-

a) Follow procurement protocol for all purchasing needs

b) Inventory

  • Maintain inventory for Office Supplies, hospitality requirements
  • Do item check last week of the month
  • Maintain list of all items.
  • Maintain academy cups and promo materials inventory

c) Create estimated procurement requirements for the upcoming month.
