Supporting: Zagreb Office, Croatia

Role Overview:

We are seeking detail-oriented, highly organized Recruitment Administrators (RAs) to join our Kathmandu office. This is an office-based role in Nepal, providing remote operational and administrative support to Recruiting Project Managers (RPMs) located in Zagreb, Croatia. This position is not a work-from-home role. All work is performed from the Humble Hunters Nepal office within a structured, supervised, and collaborative environment. The ideal candidate thrives in highly process-driven settings, understands the importance of precision and deadlines, and is comfortable working full-time in an office while supporting European operations remotely.

How the Nepal Virtual Office Operates:

All Recruitment Administrators work on-site from the Humble Hunters office in Kathmandu and are each assigned exclusively to one Recruiting Project Manager based in Zagreb. During working hours, RAs are required to be logged in, visible, and available on-screen for the full duration of the shift. The role is performed within a shared office environment alongside approximately ten other RAs, enabling continuous communication, coordination, and supervision. Instructions, task assignments, and operational updates are provided in real time by the assigned RPM throughout the day, ensuring alignment and timely execution of all responsibilities.

At the end of each day, you will be required to send your RPM a detailed, clear, and comprehensive End-of-Day Report outlining:

All tasks completed that day
Any tasks still pending and their current status

Key Responsibilities:

Prepare employment offers and contracts in line with RPM guidance.
Collect, verify, and organize documentation for work permit applications (passports, diplomas, clearances, etc.).
Submit and track work permit applications via HZZ (Croatian Employment Service).
Manage visa applications in coordination with suppliers and candidates.
Prepare and manage residency documentation (Boravišna).
Monitor and update all tasks using Excel, Manatal (ATS), and Microsoft Planner.
Maintain diligent, accurate data records in ATS and task management tools.
Liaise with suppliers (e.g., JVCS), candidates, and internal stakeholders professionally and promptly.
Ensure compliance with deadlines for renewals, cancellations, and legal obligations.
Act as the first point of contact for candidate questions regarding documentation, salaries, accommodation, and employment matters.
Prepare reports and maintain organized, auditable records.

Required qualifications for this job

Required Education Level:Under Graduate (Bachelor)

Required Experience:More than 3 years

Other Specification

More than 3 years of experience in administrative roles (recruitment, HR, immigration, or BPO/shared service environments).
Previous experience supporting European markets is advantageous.
Experience using Manatal is highly desirable.

Time Zone & Working Hours:

The Nepal team works fixed, predefined office hours that are aligned with core Zagreb business hours, but adjusted to avoid late-evening work in Nepal. Below are examples for clarity:

6:00 AM Zagreb = 10:45 AM Nepal Time to 2:00 PM Zagreb = 6:45 PM Nepal Time

Benefits:

NPR (30,000 - 60,000) salary plus 20% SSF contribution during the 3 months of probation period, then NPR (50,000 -100,000) plus 20% SSF after probation period
Weekends off (Saturday)
