Job Description

Department: BEG Group Admissions, Outreach and Events 
Reports To: Manager

Job Summary:

The Receptionist / Telecaller is responsible for managing the front desk, handling incoming calls, welcoming visitors, and providing accurate information about the College and its programs. This role also involves making outbound calls to potential leads, assisting with admission inquiries, and ensuring efficient communication between departments. The ideal candidate will be a confident communicator with strong organizational and interpersonal

Key Responsibilities:

1. Front Desk Management

  • Greet and assist all visitors, students, and parents in a professional and friendly manner.
  • Maintain a welcoming reception area and ensure a positive first impression for guests.
  • Manage visitor logs, appointment schedules, and front office correspondence.
  • Handle incoming and outgoing mail and courier services.

2. Telecalling and Inquiry Handling

  • Handle inbound calls and respond to queries related to admissions, programs, and general information.
  • Make outbound calls to prospective students and leads to share information about available programs.
  • Maintain accurate records of calls and inquiries in CRM or designated systems.
  • Follow up with prospective students and ensure timely updates on their queries.

3. Communication and Follow-ups

  • Reply to inquiries via Gmail, WhatsApp, and other communication channels.
  • Provide course and fee structure details to students through email and WhatsApp.
  • Assist students and visitors with campus directions and relevant information.
  • Make arrangements for guests, including ordering tea or coffee.

4. Student and Visitor Assistance

  • Provide information regarding course details, fee structures, and admission processes.
  • Coordinate with the Admissions Team to ensure smooth visitor and student experiences.
  • Assist walk-in inquiries and guide them to the relevant departments.

5. Communication and Follow-ups

  • Reply to inquiries via Gmail, WhatsApp, and other communication channels.
  • Provide course and fee structure details to students through email and WhatsApp.
  • Assist students and visitors with campus directions and relevant information.
  • Make arrangements for guests, including ordering tea or coffee.

6. Event Assistance and Campus Tours

  • Conduct campus tours for counselled students to showcase facilities and provide an in-depth look at the college environment.
  • Distribute pamphlets, fee structures, admission documents, and goodies to prospective students.
  • Assist the marketing team during events, fairs, or open days as needed.

7. Coordination and Meetings

  • Participate in regular meetings with the manager, program leaders, and Head of Department for admissions and program updates.
  • Assist other departments, including Examinations and Registry, in related tasks.
  • Attend HR training and other training sessions as required.

8. Administrative Support

  • Perform data entry tasks and update information on Monday.com.
  • Handle walk-in inquiries and create folders for new walk-in students.
  • Assist with various tasks, including helping the marketing team and arranging materials for events.
