  • Bachelor degree in social sciences or other related fields 
  • 2-3 years of experience in program and/or administrative support; experience working in community-level organizations/NGOs is valued 
  • Excellent communication skills and fluency in spoken and written English and Nepali; fluency in other languages spoken in Nepal valued 
  • Demonstrated capacity to manage multiple tasks simultaneously and high level of attention to details in all aspects of work responsibilities

Job Description

Program Support 

Coordinate with the Program team to: 

  • Ensure efficient administration, logistics management, and recordkeeping of program activities including preparing program budgets and timelines; obtaining vendor cost comparisons and review of quotations; identifying and confirming program venue, catering, resource persons, transportation and accommodation; sending invitations, managing RSVPs, and coordinating participants’ travel, hotel arrangements, and travel reimbursements. 
  • Prepare notes and reports from meetings, discussion events, seminar, field visits, and other program related events after each event. 
  • Assist in information gathering and compilation of the monthly report and other reporting requirements of the Solidarity Center and donor agencies. 
  • Participate, and as required present/share information, at SC and SC partner organizations’ activities as assigned by the Country Program Director. 
  • Ensure timely payments for program-related expenses, including preparation of payment vouchers. 
  • Manage the resource center (electronic and hard copies). 
  • Establish and maintain contacts with program-related vendors/suppliers, and assist with preparing vendor comparison overview, maintaining service agreements, scheduling service visits. 
  • Maintain a filing system (electronic and hard copies) for all program documents.

Administrative Support 

Coordinate with the Finance and Admin Officer to: 

  • Maintain office and program calendar and schedule appointments. 
  • Arrange travel locally and internationally for staff and partners including accommodation, visas and other logistics. 
  • Provide support with cash withdrawals and deposits as and when required. 
  • Maintain the petty cash account, and ensure timely settlement of bills/ receipts and accounting. 
  • Maintain computers, printers, and other office equipment and solve technical problems. 
  • Maintain an inventory for assets and office supplies and equipment and ensure timely reconciliation. 
  • Assist in soliciting quotations and procuring office supplies and assets. 
  • Maintain a filing system of all relevant documents and records. 
  • Support in the procurement of goods, services and works, and ensure procurement standards are followed. 
  • Ensure that all employment, partner and consultant contract files are updated in line with the local labor laws and organization’s policies, and support the timely issuing of offer letters and contracts. 
  • Other duties as assigned by the Country Program Director or their designee.
