Job Description

  • Handle all public relations work for visas and licenses
  • In charge of collection of bills and tenders
  • Ensure timely collation of information and submission of tenders
  • Take charge of payment of company bills and ensure they are paid on time
  • Work with the Country Director in preparing and running marketing efforts and campaigns
  • Arrange transport for staffs in the Nepal office; Arrange airport pickups for guests and receiving them at airports
  • In charge of all office renewals and administrative assistance towards office registration
  • Reviewing and approving supply requisitions; assigning and monitoring clerical functions
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement
  • Designs and implements office policies by establishing standards and procedures
  • Dealing with correspondence, complaints and queries
  • Liaising with staff, suppliers and clients
  • Delegating tasks to junior office staff employees
  • Preparing letters, presentations and reports
  • Supervising and monitoring the work of secretarial, clerical and administrative staff
  • Contributes to team effort by accomplishing related results as needed
  • Providing guidance to work colleagues and senior company management on all employment matters
  • Directing and planning essential central services such as reception, maintenance, office stationery, mail, archiving, car lease, cleaning and recycling
  • Maintains office staff by assisting in the recruiting, selecting, orienting, and training employees
  • Organizing induction programs for new employees
  • Keeping personnel records
  • Monitoring staff leave and attendance
  • Achieves financial objectives by preparing an annual budget; scheduling expenditures; analyzing variances; initiating corrective actions
  • Maintenance of all financial records including Voucher entry into Tally or similar accounting software as per requirement of Internal Revenue Department of Nepal (IRD), Monthly tax filing (VAT) at IRD, liaise with appointed Auditor for preparation of audited financial statement for each Fiscal year, filing of financial statement at IRD
  • Maintaining fund position for bank accounts, preparing cash flow statements for disbursement of funds, administering petty cash
  • Identifying priority payment lists, arranging fund for payment on priority basis
  • Disbursement of salary to staffs of Nepal branch office, calculation and deposit of TDS (Tax Deduction at source), Personal Income Tax, Provident Fund (PF)
  • Making payment to sub-consultants, supplier, rents, utilities, telephone and others
  • Maintain liaison with Banks
  • Deal with Company tax issues
  • Liaising with Singapore head office regarding all finance/account issues including generating ERP reports, providing relevant data as per Head Office’s requirement
  • Any other duties assigned by the management
