Job Description:

We are seeking an organized and proactive Office Manager to oversee our administrative operations and ensure our office runs smoothly. The ideal candidate will be a detail-oriented individual who can effectively multitask and prioritize tasks in a fast-paced environment. As the Office Manager, you will play a crucial role in maintaining office efficiency and fostering a positive work environment.

Responsibilities:

Administrative Management:

  • Supervise administrative staff and allocate responsibilities to ensure maximum productivity.
  • Manage office supplies inventory and place orders as necessary.
  • Oversee office budget and expenses, ensuring cost-effectiveness.

Facilities Management:

  • Coordinate maintenance of office facilities and equipment, including IT infrastructure.
  • Address any issues related to office space and liaise with building management.

Operational Support:

  • Manage schedules and deadlines for various office projects and initiatives.
  • Handle incoming and outgoing correspondence and maintain filing systems.
  • Coordinate travel arrangements and accommodations for staff as needed.

Human Resources Support:

  • Assist with recruiting and onboarding new employees.
  • Maintain employee records and update HR databases.
  • Coordinate employee events and team-building activities.

Communication and Coordination:

  • Serve as the point of contact between executives, employees, and external stakeholders.
  • Schedule meetings and appointments and manage calendars.
  • Prepare reports and presentations for internal and external meetings.

Requirements:

  • Proven experience as an Office Manager or similar administrative role.
  • Excellent organizational and time management skills.
  • Strong verbal and written communication abilities.
  • Proficiency in MS Office and office management software (e.g., ERP systems).
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and problem-solving skills.
  • Bachelor’s degree in Business Administration or relevant field preferred.
