Job Summary: 

The Office Manager is responsible for ensuring the smooth and efficient operation of the administrative functions within the supplement company. They play a vital role in managing day-to-day office activities, coordinating administrative tasks, and providing support to various departments as needed. This position requires strong communication skills, organization, and a passion for health and wellness.

Key Responsibilities:

Administrative Management:

  • Oversee general office operations, including maintaining office supplies, equipment, and facilities.
  • Manage incoming and outgoing correspondence, including emails, phone calls, and mail.
  • Maintain office records, databases, and filing systems, ensuring accuracy and confidentiality.
  • Maintain relationships with clients, addressing inquiries, resolving issues, and ensuring customer satisfaction.
  • Update and manage client databases, ensuring accuracy and completeness of information for effective communication and marketing campaigns.

Event Planning and Coordination:

  • Identify potential venues for guest presentations, including gyms, wellness centers, corporate offices, and community organizations.
  • Liaise with venue managers or event coordinators to schedule presentation dates, times, and logistics.
  • Coordinate all aspects of event planning, including room setup, audiovisual equipment, catering (if applicable), and promotional materials.

Presentation Content Development:

  • Collaborate with the marketing team and subject matter experts to develop engaging presentation content that highlights the benefits and features of the company's supplement products.
  • Ensure presentations are tailored to the audience and venue, incorporating relevant topics and addressing specific interests or concerns.

Promotion and Outreach:

  • Utilize various channels, such as social media, email marketing, and community partnerships, to promote events and generate attendance.
  • Reach out to local organizations, gyms, and wellness centers to build relationships and secure opportunities for guest presentations.

Event Execution and Follow-up:

  • Ensure smooth execution of guest presentations, including setup, registration, welcome, and post-event cleanup.
  • Engage with attendees before, during, and after presentations to answer questions, collect feedback, and facilitate product demonstrations or sampling.
  • Follow up with attendees to thank them for participating, provide additional information or resources, and encourage product trials or purchases.

Driving and Flexibility:

  • Possess a valid driver's license and the ability to travel to different locations for presentations and events.
  • Demonstrate flexibility to work weekends and evenings as needed to accommodate event schedules and business needs.

Qualifications:

  • Bachelor's degree in marketing, communications, business administration, or a related field preferred.
  • Previous experience in sales, marketing, or customer outreach roles is advantageous.
  • Strong communication and interpersonal skills, with the ability to engage diverse audiences and build relationships with stakeholders.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple projects and deadlines effectively.
  • Knowledge of health and wellness industry trends, including familiarity with supplements and nutritional products, is desirable.
  • Proficiency in Microsoft Office suite and event management software/tools.
  • Flexibility to work evenings and weekends as needed to accommodate event schedules.
  • Valid driver's license with a bike or scooty for travel to event locations.
