Job Description

Department/Location: Operations Department/GD Office 
Report to: 
Direct Line Supervision: Finance, Logistics & Procurement Officer 
2nd Line Supervision: Operations Head 
Inter Line Supervision: N/A 

Collaboration with: 

Internal: All Staff 
External: Members, Investors/Promoters, Vendors, Market Representatives & Other 
Stakeholders Grade: 1 

Overall responsibilities: 

An office assistant performs a variety of duties and must be prepared to handle multiple tasks at once.  S/he may be responsible for forwarding calls or important messages. Some can even deliver their  company's incoming calls, while others can help schedule appointments. Support workers must ensure  that supplies are ordered and canceled. Sometimes, S/he may also be responsible for billing and  collections. 

Specific Role and Responsibilities: 

  • Handling incoming calls and other communications. 
  • To play a supportive role in the filing system of financial, procurement, and other required documentation. Recording information as needed. 
  • Greeting clients and visitors as needed. 
  • Updating paperwork and maintaining document processing. 
  • Ensuring that the office area is clean on a daily basis. 
  • To arrange drinking water in the working rooms of the employees on a daily basis. Continuously monitor the company's vehicles & equipment and ensure that they are in a safe condition.
  • Organizing travel by booking accommodations and reservation needs as required. To play a supportive role in managing office supplies. 
  • To play a supporting role in all the work related to the bank. 
  • To maintain and timely payment of utility bills (electricity, water, telephone, internet, etc.), payments, and  bank-related tasks. 
  • To play a supporting role in managing logistics while organizing events inside and outside the company Follow every official instruction from the supervisor
