We are seeking a highly reliable, honest, and adaptable Entry-Level Operations & Facilities All-Rounder to join our organization. Our company prides itself on cultivating a supportive, cooperative, and welcoming workplace environment.

The successful candidate will transition seamlessly between executing vital administrative duties in the office and providing operational oversight on-site. While prior experience in facility management is not required as comprehensive on-the-job training will be provided the role demands absolute integrity, strong organizational skills, and a professional demeanor.

Key Responsibilities

1. Administrative Management & Data Integrity

Email Correspondence: Monitor the primary corporate inbox, manage daily correspondence, and respond to client inquiries in a timely, professional manner.
Data Entry & Record Keeping: Accurately input client data, operational metrics, and field statistics into our digital databases. Maintain structured, confidential digital and physical filing systems for client records and corporate documentation.
Contract Administration: Assist in the preparation, organization, and secure archiving of field employee contracts and compliance documentation.

2. Field Operations & Team Coordination

On-Site Supervision: Oversee on-site field teams during service execution to ensure company standards, safety regulations, and project timelines are strictly upheld.
Attendance Tracking: Monitor, verify, and log the daily attendance, punctuality, and timesheets of field workers.
Field Training Engagement: Participate in periodic, hands-on field training sessions alongside team to acquire a comprehensive understanding of the company's service offerings.
Monthly Reporting: Compile operational data to generate objective monthly performance reports for senior management review.

3. Client & Team Relations

Serve as a polished and dependable point of contact for clients, addressing inquiries and managing feedback professionally.
Foster positive working relationships with both office personnel and field technicians, reinforcing a culture of mutual respect and integrity.

Integrity & Discretion: Exceptional honesty and trustworthiness. The candidate must exercise absolute discretion when handling sensitive employee contracts and client data.
Professional Demeanor: Excellent verbal and written communication skills suitable for corporate client relations and internal team management.
Technical Literacy: Proficiency in standard office applications, specifically Microsoft Excel, Microsoft Word, and professional email management. High attention to detail during data entry is mandatory.
Experience Level: Entry-level. A background in customer service, administration, or general operations is beneficial but not required.
