The IT, Hardware & Admin Officer is responsible for managing the Company's IT infrastructure, computer hardware, networking equipment, surveillance systems, office facilities, and administrative support services across the Head Office and retail outlets. The role ensures uninterrupted business operations by maintaining reliable technology systems, safeguarding company assets, supporting users, and coordinating administrative and facility-related activities.
Key Responsibilities
A. Information Technology (IT)
User Support
- Provide first-level technical support to all Head Office and outlet employees.
- Troubleshoot hardware, software and network-related issues.
- Install, configure and maintain desktops, laptops, printers, scanners and peripheral devices.
- Set up computers for new employees.
- Manage user accounts, passwords and system access rights.
- Provide user training on company systems and software.
Systems Administration
- Maintain Windows operating systems and business software.
- Coordinate ERP, POS and pharmacy management software support with vendors.
- Install software updates and security patches.
- Monitor system performance and ensure minimal downtime.
- Perform scheduled system maintenance.
Network Management
- Maintain LAN, WAN and Wi-Fi networks.
- Configure routers, switches and internet connections.
- Coordinate internet service providers.
- Troubleshoot connectivity issues.
- Maintain network documentation.
Data Protection & Security
- Perform scheduled data backups.
- Verify backup integrity.
- Maintain antivirus and endpoint protection.
- Monitor cybersecurity threats.
- Ensure proper data security and confidentiality.
- Maintain disaster recovery documentation.
B. Hardware & Technology Management
- Maintain all company computers, laptops and tablets.
- Install and maintain barcode scanners.
- Maintain POS terminals.
- Maintain receipt printers and label printers.
- Configure biometric attendance devices.
- Maintain CCTV systems and DVR/NVR equipment.
- Maintain access control systems.
- Coordinate warranty repairs.
- Maintain UPS systems and backup power equipment.
- Maintain inventory of spare IT equipment.
- Recommend replacement of obsolete hardware.
C. IT Asset Management
- Maintain an up-to-date IT Asset Register.
- Tag and record all IT equipment.
- Track movement of company assets.
- Record hardware allocation to employees.
- Maintain warranty records.
- Coordinate annual asset verification.
- Recommend asset disposal in accordance with company policy.
D. Administration & Facilities
- Manage office facilities and ensure a safe working environment.
- Coordinate office maintenance and repairs.
- Supervise housekeeping and office cleanliness.
- Coordinate security guards and building management.
- Monitor utility services including electricity, water and internet.
- Manage office furniture and equipment.
- Coordinate office renovations and improvements.
- Support company meetings, workshops and corporate events.
- Ensure office supplies are adequately stocked.
- Assist with procurement of office equipment and administrative materials.
E. Vendor Coordination
- Coordinate IT service providers.
- Liaise with internet service providers.
- Coordinate CCTV and security system vendors.
- Coordinate maintenance contractors.
- Obtain quotations for IT and office equipment.
- Monitor vendor performance.
- Maintain service contracts and warranty records.
