KTK-BELT is a 501(c)(3) non-profit organization registered in New York. It aims to catalyze new models of biodiversity conservation and environmental learning in eastern Nepal. Its mission is to work with teachers, farmers, youth, and women to create a ‘Vertical University’
that will span from Koshi Tappu (67 m.) to Kanchenjunga (8,586 m.), the third tallest peak in the world. The idea is to give a framework to local farmers to become ‘professors’ of the Vertical University, to share their indigenous knowledge while conserving threatened species and
landscapes. 

KTK-BELT works with local non-profit motive organizations called ‘Learning Grounds.’ Each Learning Ground, governed by a diverse local Board, owns its own biodiversity-rich conservation land base, which it holds in perpetuity in order to prevent ecosystem fragmentation and deforestation. Local BELT Youth Fellows, trained by KTK-BELT staff, run and administer the Learning Grounds.

Duty Station:

  • Kathmandu mostly with some travel to Eastern Nepal as needed

Responsibilities:

HR Related:

  • Coordinate with Co-Directors, Legal Advisor and Administrative staff to develop contracts, policies, and guidelines for KTK-BELT staff and local partners
  • Coordinate recruitment and interview process for potential applicants based on experience, skills and academic qualifications
  • Provide general day-to-day HR support across as part of the human resource function
  • Ensure an unbiased and procedural execution of the recruitment process
  • Manage and maintain contracts, personnel files and other employee information
  • Implement a thorough and rigorous induction and orientation program for new employees
  • Post job ads and organizing resumes & job applications and schedule job interviews & assisting in interview process
  • Update and maintaining employee benefits, employment status, and similar records
  • Liaise with retirement fund organization and managing employee benefit system
  • Facilitate employees to get their retirement fund after their termination
  • Record keeping of leave records of employees (Casual leave, sick leave and others)
  • Processing payroll, which includes ensuring vacation and sick time are tracked in the system
  • Facilitate resolutions to any payroll errors and answering payroll question
  • Maintain records related to grievances, performance reviews and disciplinary actions
  • Perform file audits to ensure that all required employee documentation is collected and maintained
  • Perform payroll/benefit-related reconciliations
  • Handle staff insurance matters and deal with insurance company for claim process of employees
  • Complete termination paperwork and provide exit letter and experience letter

Administrative Officer:

  • Serve as liaison with finance and accounting on diverse issues, including project planning and budgeting, expense management, external funding, event planning and human resources paperwork
  • Ensure transactions are properly recorded and entered into a computerized accounting system 
  • Co-ordinate the daily operations and management of KTK-BELT KTM office. Perform day to-day administrative tasks as directed by the executive team
  • Maintain a monthly and weekly calendar outlining meetings and appointments, and make necessary travel arrangements, manage the business calendar for team members
  • Establish and maintain office files and company documents, both physically and virtually; make recommendations for better information management practices and tools in a free and open source software environment
  • Prepare meeting materials; formalize agendas, and record and share minutes to promote exchange of actionable information and timely decision-making
  • Ensure management of online files and the appropriate filing of the electronic and hard copies of the financial documents and reports

Qualification & Experience:

  • Minimum Bachelor degree in Management or Human Resource or Business Administration or related field from recognized university
  • Must have at least 2 years of experience in related field working at Officer Position
  • Should have sound knowledge of Labour Act 2074, Labour Rules and Social Security Act
  • Excellent analytical, problem-solving and research skills
  • Excellent communication, organization and counseling skills
  • Ability to work collaboratively in multi-person teams
  • Computer fluency a must including Microsoft Word, Excel, and other software 
  • Knowledge of liaison work in government organizations will be an added qualification

Note:

  • Applications must be received by February 5, 2019. The position will be filled by March 1st
  • The first month will be a trial period with a possibility for extension
