Job Description

Reports to: Project Coordinator 

Job Purpose: To ensure functional, effective & efficient accounting & financial system and timely preparation and submission of reports to the donor. This position holder will be working closely with the organization’s Finance, Logistics and Program Team to run the smooth operations of accounting and financial management.

Major Duties and Responsibilities:

  • Reviewing bill/ invoice and claims received from logistic units and staff and check supporting documents, generate payment voucher, cheque writing and handover to concern party timely manner.
  • Ensure and timely payments of vendor’s bills and settlement of advance, balance sheet items and reconcile periodically.
  • Responsible for overall staffs pay roll system, tax calculation and tax report to IRD office
  • Prepare monthly financial report and submit it to SCI, MFWFO 
  • Responsible for manage fund to run office (operation & program) and submit it to SCI MFWFO, Nepalgunj 
  • Monitor and report Budget vs. Actual expenditure to concern budget holder for review and further adjustment
  • Responsible for day to day office administration work; staff attendance, leave, staff personal file and managing agreement files.
  • Facilitated audit process and its management response
  • Maintain safe and proper filling of voucher, monthly financial report, bank reconciliation statement, and data backup for auditing and further requirement
  • Ensure the financial management system is in accordance with organization policy, Donor’s guidelines, International & National Accounting Standards
  • Maintain petty cash, prepare cash vouchers, replenish according to established petty cash level.
  • Coordinate with bank and manage all banking transactions
  • Work together with Project Coordinator, Logistics Officer and respective board members in budget management and its implementation
  • Provide technical support to physical verification, procurement committee, as needed
  • Support to Program coordinator for budget plan and budget forecast.
  • Assets management and update.
  • Manage store, prepare and maintain inventory record/report of program.
  • Maintain & safely keep backup data of financial/program data.
  • Any other duties assigned by line manager
