Job Description

TITLE: Finance Assistant   
UNIT: Finance & Grants Unit
REPORTS TO: Finance & Grants Manager
SUPERVISES: N/A

1. SUMMARY OF RESPONSIBILITIES

The Finance Assistant is responsible for supporting the finance-related operations in The Asia Foundation (the Foundation) Nepal office. S/he is responsible for entering data, processing invoices, and supporting the Finance & Grants Manager in planning and developing financial systems, policies, and procedures that are consistent with the Foundation and donor guidelines and policies. 

2. RELATIONSHIPS

Internal
Contact all staff within the Foundation’s Kathmandu office.

External
Contact grantees, contractors, Headquarters, and donors.

3. REQUIREMENTS

Education

  • Bachelor’s degree in Business Studies, Business Administration, and/or any relevant field.

Experience

  • Work experience of a minimum of two years in similar international agencies or civil society organizations would be preferred. Experience in QuickBooks would be an added advantage. 

Other

Excellent communication skills, creative thinking, willing to take initiatives; fully conversant with using the Microsoft Office suite of programs, particularly MS Word, Excel, and Power Point; strong interpersonal skills; an ability to work effectively and harmoniously with colleagues from varied cultures and professional backgrounds; willingness to undertake duty travel to districts.

4. JOB DUTIES AND RESPONSIBILITIES

  • Reviewing documents, handling payment requests, voucher entries, and issuing checks. Ensure proper filing of all documents.
  • Assist in bank related work. 
  • Communicate with the Foundation Headquarter on funds requests. Ensure timely transfer of funds.
  • Tracking of travel and business advances and taking necessary steps to liquidate outstanding items in a timely manner.
  • Prepare monthly tax reconciliation and arrange transfer of funds to Nepal tax office ensuring the Foundation adherence to tax laws.
  • Keep track of VAT deductions and ensure timely submission of VAT refund requests to USAID.
  • Download project budget reports monthly.
  • Tracking staff transportation and/ or work from home reimbursements on monthly basis. 
  • Review staff travel expenditure reports.
  • Assist in arranging audits or financial reviews, internal and external, of sub-grants requiring such actions. Follow-up on audit recommendations with grantees and concerned program staff of the Foundation.
  • Any other task assigned by the Supervisor and the Senior Management.
