Term, Location & Duration:    

  • Fixed term position initially for one year based in Nepal Country Office, Kathmandu with frequent field visit

Key Responsibilities

  • Support the effective dissemination of award information so that all key contributing staff have a clear understanding of Save the Children processes and donor requirements and expectations at the proposal, amendment, reporting stage and audit stage of grants.  
  • Support the Emergency Award Manager and/or Country Award Manager to improve the reconciliation process (reporting assurance mechanism) between Finance, Procurement, Logistics, Distribution, M&E that will ensure accountable reporting to donors on all humanitarian inputs (items delivered to beneficiaries. 
  • Support and coordinate the submission of quality proposals in accordance with donor formats.
  • Coordinates preparation and timely submission of all narrative and financial reports for donors in full compliance with prescribed SCI and donor requirements (formats, processes and policies). 
  • Support the Response Team to ensure effective donor contract management.
  • Maintain the Funding Tracker 
  • Provide effective and prompt communication and liaison with members on their awards.
  • Carry out inductions and staff trainings for award management procedures, donor requirements etc.
  • Support program staff to comply with Save the Children partnership policies and procedures including ensuring all implementing partners for the response operations undergo legal vetting prior to commencing work with Save the Children and are engaged with appropriate agreements.

Donor compliance

  • Ensure that all appropriate donor formats are available in-country 
  • Support the Emergency Award Manager and/or Country Award Manager to identify potential issues and amendment requests and ensure they are flagged promptly to donors via the relevant Save the Children member. 
  • Ensure robust and comprehensive records are maintained for all awards to meet audit requirements.
  • Work with internal and external auditors as necessary.

Award Management System (AMS)

 

  • Ensure that all opportunities, proposals, contracts and amendments with donors are processed and approved through AMS and the system is an accurate reflection of current award status at all times.
  • Ensure all partners and sub-award agreements are input into AMS.
  • Ensure that all adequate attachments appear on AMS and are retained as part of the award audit trail

Additional:

  • Provide interim support to a country or regional programs which lack award management resources. 
  • Work with internal and external auditors as necessary. 
  • Deliver high quality results in line with the agreed ToR and develop effective relationships with country programme staff.
  • Comply with all relevant SC policies and procedures with respect to child protection, health and safety, equal opportunities and other relevant policies and procedures.

Required Qualification and Competencies

  • Bachelor’s degree in Management or related Social Science with atleast 2 years of relevant experience 
  • Good planning, organizing, coordination and monitoring skills
  • Ability to work in a complex environment with multiple tasks, short deadlines and intense pressure
  • Proficiency in MS Office and in the Nepali & English languages
