USAID’s Strengthening Systems for Better Health (SSBH) Activity is a 6-year project aimed at improving health outcomes in Nepal, particularly for the most marginalized and disadvantaged groups in the country. SSBH supports the Government of Nepal’s efforts to expand access to and use of quality maternal, newborn and child health and family planning services, with a specific focus on newborn care and is designed to achieve three major outcomes:

(i) improving access to and utilization of equitable healthcare services,
(ii) improving the quality of 
health services at facility and community levels and
(iii) improving health systems governance, within the context 
of federalism.

The project is implemented in close collaboration with the Ministry of Health and Population at federal level and with provincial and municipal governments, health facilities and other key health sector stakeholders at sub-national levels.

LOCATION: Kathmandu, Nepal

SUPERVISOR: Human Resource and Administrative Officer

Reporting to the Human Resource and Administrative Officer, the Administrative Assistant will be responsible for providing administrative support and reception services for the project. 

KEY RESPONSIBILITIES AND ACTIVITIES:

 Specific tasks include:

  • Handle reception desk of the SSBH Kathmandu office and receive telephone calls
  • Receive and advise guests
  • Maintain bookings for use of office meeting rooms
  • Type official communications in Nepali and English as required
  • Maintain an up to date staff roster with telephone numbers and emails.
  • Keep records of relevant publications of the project, the client and other partners.

Assist the HR and Administrative Officer with:

  • Ensuring that the office is clean and well managed  
  • Collecting health insurance claims of staff and assist in submitting.
  • Maintaining project files, incoming and outgoing mails and correspondences with the client and other partners.
  • Recruiting and on-boarding new staff team members
  • Tracking expiry dates for all Employment Agreements and consultant contracts and ensuring that renewals are completed in a timely manner
  • Maintaining records of employee vacation and sick leave use and balances 

Assist the Program Support Officer with:

  • Purchasing, storing and distributing office supplies
  • Ensuring timely settlement of office bills
  • Providing administrative support during meetings and training sessions
  • Making ticketing, travel and courier arrangements

Assist Accountant with: 

  • Photocopying and scanning documents during preparation of financial reports

Qualifications and Skills Required

  • Bachelors Degree in Administration, Management, Business, or other relevant field.
  • At least two years of relevant professional experience in office administration.  
  • Working knowledge of Windows, Word and Excel and PowerPoint
  • Ability to independently plan and execute tasks while remaining organized and focused on long-term deadlines 
  • Ability to assess problems and develop solutions.
  • Excellent inter-personal communication skills and organization skills.
  • Experience with donor-funded projects preferred
