Job Description

Duties and Accountabilities:

  • Provide full administrative and organizational support to the IFC Nepal team members and Head of Office in day to day operations.
  • Support and work collaboratively with members of the Nepal office team as well as with others in diverse work groups/teams/task forces, across World Bank Group offices.
  • Organize events, handle visiting missions, schedule meetings, conference calls, video conferences and prepare materials for meetings.
  • Assist the team in the preparation and logistical planning for various events.
  • Provide effectively general support and utilize all relevant computer software to retrieve, maintain and manipulate data as needed.
  • Independently respond to diverse inquiries and makes decisions when multiple courses of action are possible.
  • Coordinate and monitor multiple and diverse work processes and activities to ensure that management decisions are properly carried out and products/ services delivered in a timely manner.
  • Draft/finalize correspondence on a range of topics and prepare minutes for the meetings. Ensure quality of documents requiring Head of Office signature and/or approval.
  • Manage correspondence, including institution of an appropriate filing and tracking system, maintenance of files etc.
  • Preparation and clearance of travel related activities including travel related clearances, hotel reservations, maintaining contact information and up-to-date work unit project/travel and other files (both paper and electronic).
  • Draft and edit routine correspondences, i.e. letters, e-mails, power point presentations, spread sheet data and memorandum.
  • Act as back up to other Assistant during their absence or during busy periods.
