In addition, KOSHISH is also working in system strengthening and creating a model that the government and other stakeholders may able to replicate.

Job Description

The Admin Finance Assistant is responsible in accounting, financial transactions, budgeting, book-keeping and preparing financial report of said projects of KOSHISH.

Major Duties and Responsibilities:

Administration: 

  • Maintain and update fixed assets register and inventory of stock of field offices on regular basis. 
  • Support to administrative and logistics requirement of the projects.
  • Maintain and update leave records of field staffs and update to central office on regular basis.
  • Track and monitor staff attendance of field staffs and provide the record of attendance to human resource unit of central office on monthly basis.  
  • Support in the monitoring framework of KOSHISH and conduct periodic monitoring visits to project area of the specific projects.

Finance: 

  • Make necessary entries into accounting software upon verification of documents from supervisor. 
  • Ensure the accuracy of the data entered into software and document properly on timely basis.
  • Process payment request of field staffs to central office for disbursement purpose. 
  • Review and verify various expenses submitted by field staffs for settlement or reimbursement expenses of field activities. 
  • Ensure the expenses of field activities are in line with the organizational guidelines and approved budget.
  • Maintain the control over approved budget. 
  • Assist project staff to prepare the monthly/quarterly budget forecast
  • Prepare quarterly financial report of the projects. 
  • Provide update project specific variance (budget vs expenses) to unit head or project coordinator on monthly basis.
  • Handle petty cash of field office and ensure the timely settlementEnsure the payment of field office utilities are timely paid. 
  • Prepare monthly bank and cash reconciliations statement 
  • Review and compile books of the projects for internal and statutory audit.
  • Identify issues in accounting and discuss with supervisor for possible resolution.
  • Ensure internal control over field office as per the admin/finance guidelines of KOSHISH.
  • Maintain good cooperation and collaboration in finance department and with other team member
  • Deposit tax obligation of the organization to the concerned agency on timely basis.
  • Other duties as per assigned by the organization.

Remuneration and Benefit: Negotiable as per competence and experience.
