Role Purpose
The Secretary will be performing routine secretarial duties including documentation, correspondence, record keeping and file management, coordination and logistic support during meetings/workshops/events.

Term and Location: Fixed term position based in Kathmandu

Required Qualification: At least Intermediate or +2 level education (Bachelor's degree preferred) in any discipline with minimum 3 years (2 years for Bachelors) experience in day-to-day administrative and logistics tasks including documentation

Key Areas of Accountability

  • Perform routine secretarial duties including typing, filing, printing of documents, and maintaining communication files.
  • Provide assistance and logistic/secretarial support to the programme teams and other departments, both residential and non-residential workshops/ seminars/ trainings, design sample for certificates and banners and prepare reports of such events.
  • As advised, coordinate with the external participants of the regional/global workshops/ seminars/ training including providing of PDI (Pre-Departure Information) via e-mail, preparing and sending invitations to participants as advised, hotel and venue booking, ensure confirmation of air tickets.
  • Coordinate with procurement team and procure required stationery and other necessary equipments.
  • Negotiate the hotel rates as per requirement, collect and compile hotels bills of various residential and non-residential workshops, meetings, trainings and forward it to the finance team for payment.
  • Coordinate payment of Per Diems and other incidental expenses to the participants as required.
  • Use a variety of software packages to produce correspondence and documents, and maintain presentations.
  • Translation (Nepali to English and vice versa).
  • Assist the Line Manager in uploading minutes and other documents in intranet, if necessary.
  • Scanning of official documents of various departments.
  • General correspondence for all Departments including issue of Memos as per advice.

  • Excellent coordination skills
  • Sound in using computer applications (MS Word, Excel, PowerPoint etc.)
  • Good Interpersonal skills
  • Ability to multi-task within intense stress/pressure
  • Pro-active and creative
  • Excellent writing skill
  • Sound in operating electronic equipment (photocopier, scanner, fax etc.)
