Job Description

The Registry and Examination Officer is responsible for managing student records, coordinating examination processes, and ensuring smooth operation of registration and certification activities. The role includes administrative support to students, faculty, and departments to maintain effective communication and efficient academic operations.

Department: Registry and Examination
Reports To: Department Head

Key Responsibilities:

Examination Administration

  • Schedule and invigilate exams.
  • Prepare and handover admit cards to accounts department.
  • Create and manage Turnitin classes for examination and assessment purposes.
  • Block and unblock Turnitin access as required.
  • Prepare all examination lists and oversee moderation of all examinations and assessments.
  • Communicate with students about exam schedules and follow up on exam-related queries.

Student Registration and Records

  • Assist in university registration processes, ensuring that student details are correctly documented.
  • Verify student details in enrollment letters for accuracy.
  • Send Blackboard credentials as provided by university.
  • Create and send Orbund credentials to students.
  • Create Orbund classes as per routines provided by PLs.
  • Update student level and graduation status in Orbund.

Certification and Documentation

  • Print Level 3, pre-masters and character certificates.
  • Scan and distribute certificates to graduating students.
  • Prepare and update the student graduation and degree qualification list.

Student Support and Inquiry Handling

  • Address and resolve student inquiries regarding various academic processes.
  • Manage withdrawal and deferral processes of students and maintain records.

Collaboration and Coordination

  • Collaborate with PLs to ensure the smooth execution of examinations.
  • Collaborate with Admission and Finance departments for registration processes.

Administrative Duties

  • Prepare ID card data of students for printing.
  • Assist to prepare the faculty payment list.
  • Participate in team meetings and ensure proper documentation of discussions.
