Job Description

The Purchasing & Inventory Supervisor is responsible for ensuring that all supplies are purchased at best value for money and are available as required by AMA departments. Responsible for supplier management, market testing for goods and services pricing and implementation of appropriate purchasing policy. The maintenance and control of the inventory of goods; including delivery receipt, stock management and consumption reporting.

DUTIES AND RESPONSBILITIES :

  • Purchasing & Supplier Management 
  • Ensure that an up-to-date list of all suppliers is maintained.   
  • Ensure that all AMA department orders are issued as per request: Food and beverage, kitchen supplies, office supplies, paper goods etc. 
  • Prepare weekly purchase list and request purchasing clerk to order when items fall below established par levels. 
  • Check that AMA is receiving goods at very competitive price by verifying market prices on a regular basis and ensuring that goods are invoiced/received as per approved rates (or contract price)  
  • Supervise or receive all supplier deliveries, and verify quantity, quality and/or damages. 
  • Advise various departments of availability status of required materials and strive to come up with creative solutions to supply problems/issues. 
  • Source new items as requested (locally). 
  • Track Online Purchases. 
  • Ensure all purchases and orders follow all internal guidelines. 

Inventory Administration:

  • Inventories all AMA stock and fixed assets as per established AMA schedule. 
  • Ensure that fixed assets of the organization are maintained, and inventory updated as/when purchases/procurements are made. 
  • Develop and implement inventory control procedures to minimize discrepancies and stockouts. Conduct regular audits to verify inventory accuracy 
  • Ensure that all storerooms are neat and orderly, par levels are adhered to, and proper control procedures are in place (i.e., issuing, receiving, transfers of all goods are always properly recorded) 
  • Verify and file daily transactions and edits and ensure that all transactions are recorded on a “live” basis. 
  • Generate/supervise monthly consumption, stock, and purchase reports of all departments and present them to General Manager. 
  • Ensure that all damages/losses are recorded by each department on Daily Damage/Loss Reports.  
  • Solve/respond to Inventory Control Issues. 
  • Provide daily, weekly, and monthly reports as required. 

Supervision and line management of Purchasing & Inventory Clerk:

  • Supervise inventory staff, including assigning tasks, providing training, conducting performance evaluations and up to date job description to ensure productivity and quality standards are met.
  • Promote AMA values and ensure staff are aware of all AMA policies.  
  • Prepare weekly duty roster and task lists.  

General:

  • Work to support general AMA events.
  • Other duties as directed by the General Manager.
