Job Description

  • Carry out program logistics including procurement of supplies, and contractors as needed;
  • Coordinate his/her activities with the Finance Officer and Chief Executive Officer;
  • Obtain information and quotes for procurement processes;
  • Oversee the administration of program files and relevant documents, including the filing of documents, physically and electronically;
  • Registering and tracking all incoming and outgoing physical correspondence;
  • Perform receptionist, operator and librarian tasks as needed;
  • Assist in booking and purchasing of tickets;
  • Oversee the furnishing and maintenance of the properties;
  • Maintain contact lists, history cards and other personal documents for staff, visitors, and partners;
  • Using proper stock Bin cards Ledger cards for all goods received released within the store;
  • Design and prepare the stock in such a way that all materials and items are classified and categorized in an easy to access manner;
  • Provide daily weekly monthly and quarterly report about procurement warehouse and inventory to the supervisor;
  • Organize the safe and efficient storage and distribution of items and ensure that beneficiaries received the items. Also keeping record of every single item taking out from the admin stock;
  • Keeping an inventory of hard and software assets of the project and company  and update lists as soon as changes occur;
  • To prepare and keep e-attendance sheets and summary of time sheets for regular staff members on monthly basis as required and report to finance officer;
  • To do clear petty cashes needed to be liquidated;
  • To be in charge of all office assistant and  cleaners in the office;
  • Responsible for business cards, all other administrative documents printing and keep records when required;
  • Produce and forward correspondence mails,memos, letters, faxes and forms;
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc;
  • Handle sensitive information in a confidential manner;
  • Reply to email, telephone or face to face enquiries;
  • Perform other logistical and administrative tasks within the program’s scope of activities, as instructed by management.
