Roles and responsibilities of this job

We are seeking a proactive, organized, and academically driven Program Coordinator / Manager who can lead and manage the overall academic operations of the institution. The ideal candidate will possess strong leadership qualities, excellent communication skills, and a deep understanding of higher education systems.

Key Responsibilities:

1. Academic Planning & Quality Assurance

Prepare and implement the academic and assessment calendar.
Oversee the approval and scheduling of academic plans.
Ensure timely contextualization and updating of module handbooks.
Conduct faculty briefings and training sessions on digital platforms.
Conduct Student Feedback Surveys and student-staff consultative Group meetings.
Organize the Program Board meeting and prepare required reports (Annual Monitoring Reports, Program Analysis).
Support internal moderation of assessments, examinations, and grading processes.
Oversee plagiarism investigations and ensure academic integrity.

2. Program Operations & Compliance

Prepare and manage class schedules.
Ensure compliance with university guidelines and accreditation requirements.
Monitor student attendance and address related concerns.
Facilitate communication between faculty, students, and administration.
Handle administrative tasks such as creating submission boxes, tracking student submissions, and managing internal records.
Approve student leave and counsel students on academic matters.
Ensure smooth admissions processing, including interviews, counseling, and documentation.
Prepare internal memos, budget reports, and financial records related to program operations.
Participate in weekly council meetings, university meetings, and educational fairs as required.

3. Faculty Management

Recruit, onboard, and manage adjunct faculty.
Conduct classroom observations and evaluate faculty performance based on approved norms.
Make recommendations on faculty appointments, retention, and development.
Ensure timely faculty meetings and adherence to academic policies.

4. Student Engagement & Experience

Plan and implement Extra-Curricular Activities (ECA) and Co-Curricular Activities (CCA), including:

- Orientation, social work, and welcome programs.
- Industrial visits, sports week, and business competitions.
- Graduation ceremonies and intercollegiate participation.
- Guest sessions, academic writing workshops, and skill-based training.

Offer and manage non-credit courses such as Business Writing, Digital Marketing, and Soft Skills Development.
Act as a semester supervisor, monitoring student behavior, attendance, and performance.
Engage students in leadership roles for event management and institutional representation.

5. Examinations & Internal Evaluations

Organize and administer examinations.
Review and approve examination question papers.
Ensure accurate moderation and grading processes.
Prepare internal evaluation reports and maintain academic records.
Manage Pre-Program Assessment Board, Program Assessment Board, and other university boards.

6. Finance & Budgeting

Prepare the annual budget for program operations and events.
Monitor student fee collection and propose solutions for outstanding payments.
Prepare financial records related to student fees, scholarships, and installment plans.

Educational Qualifications:

Master’s degree in Education, Management, Business Administration, or a related field (preferred).

Experience & Skills:

Minimum 2 years of experience in academic coordination, program management, or administration in higher education.
Proven experience in curriculum planning, faculty coordination, and student engagement.
Strong understanding of university standards, accreditation processes, and quality assurance in academics.
Excellent organizational, communication, and interpersonal skills.
Proficiency in using digital platforms, learning management systems (LMS), and MS Office tools.
