Office Administration

We are seeking a responsible and organized Office Administration to support daily administrative activities and provide coordination assistance between the office and project sites. The ideal candidate will handle office documentation, communication, site-related errands, material/document delivery, and ensure smooth coordination between management, office staff, and site teams.

Key Responsibilities:

Office Support

• Handle day-to-day office errands and administrative support activities.
• Deliver and collect official documents, letters, bills, cheques, and other office-related documents.
• Assist in photocopying, printing, scanning, filing, and other basic office tasks.
• Visit banks, government offices, suppliers, clients, and other organizations as required.
• Support staff in completing routine office-related assignments.

Material Coordination at Site

• Coordinate with project sites regarding daily material requirements.
• Communicate material requirements between the site team, office, suppliers, and transporters.
• Follow up on material orders and ensure timely delivery to the project site.
• Coordinate with suppliers and drivers regarding loading, transportation, and unloading of materials.
• Maintain basic records of materials dispatched and received at the site.
• Inform the concerned office/site personnel about any delay or issue in material delivery.

Vehicle Management

• Coordinate and manage company vehicles for office and project-related activities.
• Prepare daily vehicle schedules based on office and site requirements.
• Coordinate with drivers for material transportation, staff movement, document delivery, and other official trips.
• Monitor vehicle availability, movement, and usage.
• Maintain basic records of vehicle trips, fuel consumption, and maintenance requirements.
• Ensure timely servicing and repair of vehicles by coordinating with the concerned personnel.
• Ensure vehicles are used properly and only for authorized company purposes.

Other Responsibilities

• Assist in coordination between the Head Office and Project Sites.
• Maintain confidentiality of company documents and information.
• Perform other duties assigned by the Management or authorized supervisor.
