Position: Personal Assistant (PA) to the Managing Director

Job Overview

We are seeking an organized, proactive, and highly professional Personal Assistant to the Managing Director (MD). In this pivotal role, you will provide high-level administrative, secretarial, and operational support to the MD, ensuring smooth daily operations, efficient schedule management, and seamless communication across departments and external partners. The ideal candidate maintains strict confidentiality, possesses exceptional communication skills, and thrives in a fast-paced environment.

Key Responsibilities

1. Executive & Administrative Support

Calendar Management: Manage and maintain the MD’s daily calendar, scheduling appointments, meetings, site visits, and managing conflicting priorities.
Communication Liaison: Act as the primary point of contact between the MD and internal teams, business partners, clients, and external stakeholders. Screen incoming calls, emails, and correspondence.
Travel & Logistics: Organize end-to-end travel itineraries, accommodation, transport, and necessary documentations for business trips.
Document Management: Draft, proofread, and format executive emails, official letters, speeches, presentations, and reports. Maintain a secure filing system for confidential documents.

2. Meeting Coordination & Follow-up

Meeting Preparation: Prepare agendas, collate relevant briefing materials, and prepare documents prior to board, executive, or client meetings.
Minutes & Action Items: Attend key meetings, record accurate minutes, and track action items to ensure timely follow-up and task execution across departments.
Visitor Management: Receive and host high-profile guests, clients, and partners on behalf of the MD.

3. Operational & Departmental Coordination

Collaborate with department heads to gather daily, weekly, or monthly progress reports for the MD's review.
Follow up on pending operational approvals, key deliverables, and deadlines on behalf of the MD.
Assist in organizing corporate events, executive meetings, and special projects as requested.

4. Expense & Compliance Oversight

Process and track the MD’s official expenses, bills, travel claims, and operational receipts.
Maintain complete confidentiality regarding sensitive company operations, financial records, strategic plans, and personnel matters.

Education: Bachelor’s degree in Business Administration (BBA), Management, Communication, or a related field.
Experience: Minimum 2–4 years of experience as an Executive Assistant, Personal Assistant, or Office Coordinator supporting C-level executives or senior management.

Communication: Exceptional verbal and written communication skills in both English and Nepali.
Organization & Time Management: High level of organization, attention to detail, and ability to multitask and prioritize under pressure.

Problem-Solving: Proactive attitude with strong initiative, resourcefulness, and a solution-oriented mindset.
Tech Proficiency: Advanced knowledge of Microsoft Office (Word, Excel, PowerPoint, Outlook) and digital office management software.
