Duty Station: Naxal, Kathmandu, with travel as required
Reports To: Founder and Chief Executive Officer
Contract Duration: Minimum two years, subject to satisfactory performance and applicable company policy Monthly Salary: NPR 50,000, or negotiable based on qualifications, experience, and demonstrated capability
Working Arrangement: Full-time

Position Purpose

The Manager provides operational and commercial leadership across travel services, ticketing, tours, visa-support coordination, institutional programs, and corporate accounts. The role converts company strategy into disciplined execution, protects client relationships, controls service and financial risks, and develops a capable and accountable team.

Key Responsibilities

1. Operations and Service Delivery

Plan, supervise, and review the company’s day-to-day travel operations and customer-service activities.
Ensure accurate and timely reservations, ticket issuance, reissuance, cancellation, refund, hotel, transport, tour, and travel-document support services.
Establish clear workflows, checklists, escalation procedures, service standards, and daily reporting practices.
Monitor deadlines, supplier confirmations, passenger details, fare rules, documentation, and client instructions to reduce avoidable errors and losses.
Resolve operational issues and client complaints promptly, respectfully, and with proper documentation.

2. Business Development and Client Relations

Maintain professional relationships with corporate clients, educational institutions, associations, airlines, hotels, destination partners, and other suppliers.
Identify new business opportunities and prepare quotations, proposals, service agreements, presentations, and follow-up plans.
Lead client meetings and negotiations within approved commercial limits, and obtain management approval for material commitments.
Monitor the sales pipeline, conversion, repeat business, customer satisfaction, and key account performance.

3. Team Leadership and Administration

Assign responsibilities, set priorities, supervise attendance and discipline, and conduct regular team reviews.
Coach staff in ticketing, travel operations, customer communication, documentation, sales, and professional conduct.
Maintain appropriate duty rosters, handover notes, work logs, leave records, and performance documentation.
Promote teamwork, confidentiality, accountability, respectful communication, and continuous improvement.

4. Financial and Commercial Control

Coordinate with accounts to monitor collections, supplier payments, refunds, credit exposure, receivables, and outstanding balances.
Review costings and quotations to protect agreed margins and prevent unapproved discounts or credit commitments.
Verify supporting records for operational expenses, vendor invoices, client billing, refunds, and reconciliations.
Provide periodic revenue, cost, receivable, and profitability reports to management.

5. Compliance and Risk Management

Ensure compliance with applicable laws, company policies, airline and supplier rules, contractual obligations, and data-protection and confidentiality requirements.
Maintain accurate client, booking, financial, supplier, and contract records and ensure secure handling of passports and personal information.
Identify operational, financial, reputational, and service risks and escalate significant matters immediately to the Founder and CEO.
Never guarantee a visa, immigration decision, or third-party approval, and ensure that all client communications are accurate and responsible.

Required Education Level:Under Graduate (Bachelor)

Required Experience:More than 5 years

Other Specification

Minimum qualification: Bachelor’s degree in Tourism, Travel and Tourism Management, Hospitality Management, Business Administration, or an equivalent discipline.
Relevant experience in travel operations, ticketing, tours, corporate travel, customer service, or a related service industry; prior supervisory experience is strongly preferred.
Working knowledge of airline reservation and ticketing processes, fare rules, travel documentation, vendor coordination, and customer-service standards.
Strong leadership, negotiation, problem-solving, organizational, and decision-making ability.
Excellent written and verbal communication in English and Nepali.
Competence in office productivity tools, email communication, reporting, recordkeeping, and relevant travel systems.
High integrity, confidentiality, ownership, punctuality, and ability to work calmly under pressure.
