Logistics Coordinator-1 Position

Purpose: The position holder will be responsible to coordinate and implement procurement, logistics and administrative supports in compliance with Plan International Nepal’s policies and procedures for smooth functioning of Operations in Hetauda Field Office.

Terms and Location: Fixed term employment for 3 years based in Hetauda Field Office.

Required Qualifications & Experiences:

  • Master’s Degree in Business Administration/ Business Studies and equivalent.  
  • At least 4 years of relevant work experience in procurement, logistics management and asset management
  • Clear understanding of development sector, it’s operating and regulatory environment in Nepal
  • Comprehensive understanding of the socio/political economic and cultural issues of Nepal and of job related districts and programme communities.
  • Knowledge of procurement process and procedures
  • Basic knowledge of tax laws & bylaws.
  • Excellent command and proficiency in English and Nepali language
  • Ability to coordinate with multiple stakeholders and multi task
  • Good understanding and knowledge of MS Office Package
  • INGO work experience preferred.

Key Responsibilities:

  • Prepare procurement plan and ensure all procurement are processed complying Operation Manual (OM) and statuary requirements
  • Issue invitation for quotation and purchase order within stipulated time of requisition
  • Distribute materials to requester within stipulated time and forward bills/invoice to Finance within the required time line after the goods/services satisfactorily are received. 
  • Ensure selection and hiring of consultants / professionals are processed complying OM and statuary requirements
  • Ensure fixed Assets record is updated with complete information and accuracy at all times
  • Ensure servicing/repairs of office equipment and assets as per service contracts; check quality of services of the maintenance work
  • Arrange for transfer to partner or disposal of fixed assets/ equipment which are unused or not in good condition in compliance to Operation Manual
  • Ensure the insurance of fixed assets and vehicles
  • Ensure effective Vehicle and Transport management at Field Office
  • Review and forward medical claims submitted by staff 
  • Work as security focal person- maintain and forward security incident/report
  • Provide support in HR activities as needed
  • Ensure effective management of Field Office logistic team
